JOB TITLE: Patient Services Representative 

STATUS: Full-Time / Part-Time

TYPE: On site 

REPORTS TO: Clinic Manager 

PURPOSE

The Patient Services Representative (PSR) is a medical reception and front office position available for a reliable, friendly, caring professional with a desire to further develop their skills and knowledge in healthcare, while making a difference in patients lives. This role requires excellent customer services and interpersonal skills along with enthusiasm for engaging with the public in a diagnostic ultrasound imaging center that prioritizes training. The PSR is responsible for the patient check-in process, updating computer patient personal information and insurance information, handling a multi-line phone system, medical records filing and maintenance, and collection of co-pays and cash payments. Additional responsibilities include maintaining supplies, tidiness of the patient lobby, and assisting the clinical team as needed with patient workflow. 

EDUCATION / QUALIFICATIONS / COMPETENCIES

  • High School Diploma or equivalent is required 
  • Bilingual in Spanish is preferred but not required 
  • Strong organizational skills, be punctual and responsible, follow through on tasks in a timely, efficient manner as directed 
  • Must be friendly, professionally dressed (scrub attire), have a caring demeanor to patients and clinical team, be attentive to detail, resourceful and proactive in helping patients and in facilitating a smooth clinical workflow 
  • Demonstrate proficiency in learning/using clinical scheduling/reporting software, be able to copy, fax, scan, upload documents 
  • Assist Clinical Management team in scheduling events, confirming meetings, coordinating events, assisting with projects and other clinical operations as needed 
  • Willing to grow & learn new skills and be flexible to take on additional tasks as needed 
  • Willing to accept constructive feedback from supervisors 

OVERALL RESPONSIBILITIES

  • Perform opening and closing clinic duties 
  • Answer phones, triage calls, returns messages 
  • Processes payments, balanced payments logs, prepares deposits 
  • Schedule patient by phone and on-line through websites, including follow up appointments to ensure maximized schedule 
  • Import new provider information in to scheduling database/sends out referral forms/flyers to providers routinely 
  • Greets patients, checks in for appointments and verify insurance 
  • Scan documents into electronic health records 
  • Maintain tidiness of waiting area and reception counter throughout the day 
  • Check schedules for added, canceled and no-show appointments throughout the day 
  • Respond to designated tasks in the electronic health record 
  • Order clinic office supplies, assists with inventory 
  • Book training sessions, reviewing pricing and scheduling 
  • Distribute mail, schedules, notifications as needed 
  • Assist the Clinical Management team with reports, booking/confirming of meetings, fielding calls, etc. 
  • Help with marketing and with the clinical training teams as needed with copying and distributing materials, with setting up/coordinating events
