JOB SUMMARY

Under supervision of the Chief Program Officer, the Data and Evaluation Coordinator plays a vital role at The PLACE, overseeing the management, analysis, and evaluation of data related to our program delivery. This individual will collaborate with all departments to ensure accurate data collection, reporting, and analysis to drive programmatic decisions and improve outcomes for youth experiencing homelessness. This role offers the opportunity to make a meaningful impact in addressing youth homelessness through data-driven decision-making and program evaluation. RESPONSIBILITIES

Data Management:

  • Oversee the collection, entry, and maintenance of data related to program delivery.
  • Ensure the accuracy and completeness of data in our tracking systems, including HMIS (Homeless Management Information System), the EHR (Electronic Health Record) database used for Medicaid, and client records.
  • Develop and implement protocols for data collection, storage, and security in compliance with internal policy, regulating bodies, and best practices.
  • Managing the organization’s SmartSheet use, both building and maintaining sheets and forms.

Data Analysis and Reporting:

  • Conduct regular analysis of program data to identify trends, strengths, and areas for improvement in our services.
  • Utilize Google Looker within the HMIS database to create custom reports.
  • Generate reports and data visualizations to communicate key findings to internal stakeholders, funders, and partners.
  • Investigate unusual results to determine possible factors that contributed to those results and provide nuanced explanations of what specific data outputs represent.
  • Provide data-driven insights to inform programmatic decisions, resource allocation, and strategic planning efforts.

Quality Assurance and Compliance:

  • Ensure compliance with data privacy regulations, confidentiality policies, and reporting requirements related to program services.
  • Conduct regular audits of data entry procedures and records to maintain data integrity and accuracy.
  • Provide training and technical assistance to staff members on data collection protocols, evaluation methods, and software tools.

HMIS Specific:

  • Develop proficiency in the HMIS database and become comfortable teaching new employees how to use it.
  • Coordinate, track, and Facilitate mandatory HMIS new user training provided by the CoC and work with users to ensure their understanding and ability to implement the required training.
  • Work closely with Chief Program Officer and program managers to provide HMIS coaching to teams around data collection and data quality processes and procedures.
  • Assist in the maintaining, updating, or developing HMIS forms and training materials as needed.
  • Assist with managing HMIS technical tickets.

Interdepartmental Collaboration:

  • Assist in identifying opportunities for improvement and system enhancements to further support data collection, report generation, and overall data access.
  • Participate in team meetings and work closely with the Pikes Peak Continuum of Care HMIS team as requested.
  • Maintain confidentiality of client, employee, and agency information in accordance with federal and state laws and funder requirements.

Minimum qualifications:

 A bachelor's degree in business, statistics, computer science, or another data-related field and extensive proficiency in Microsoft Excel; OR a high school diploma and a minimum of three (3) years of related experience working within databases, pulling data reports, and analyzing data and extensive proficiency in Microsoft Excel; OR equivalent combination of education and experience.

 Must be computer proficient and possess experience of Microsoft Office Suite (e.g. Outlook, Word, PowerPoint, and Excel), and requires extensive proficiency in Microsoft Excel

 Strong understanding of database management principles and experience working with HMIS or similar systems.

 Must pass both federal and state background checks which screen for crimes including drug related crimes, violent crimes, sexual abuse, domestic violence, child abuse, and repeated misdemeanors.

 Must pass pre-employment TB/Physical screening.

 Knowledge of homelessness issues, social services, and/or nonprofit organizations preferred.
