Job Summary: The Spa Service Coordinator will achieve the optimal service and product delivery standards with a high degree of member care and service. The Spa Services Coordinator is responsible for providing an exceptional member and guest experience during a member or guests visit or use of the Spa. The Spam Services Coordinator is responsible for the overall operation of the spa desk and is directly responsible for all aspects of the Spa retail program in accordance with The Buffalo Club standards.

Essential Functions and Responsibilities:

• Welcomes members and guests in person as well as answering the phone in a warm and friendly manner, offering beverages upon arrival and responding to all customer inquiries in a polite and timely manner.
• Explains spa treatments, services and products to members and guests, having and maintaining a thorough knowledge of offerings and products.
• Takes, coordinates and confirms reservations for spa services and hotel.
• Maintains paperwork such as customer and client records, billing information, etc. and reviews for accuracy.
• Continuous communication with service providers and locker room attendants notifying them of appointments and all changes/add-ons throughout shift.
• Consistently develops and grows retail sales through product acquisition, visual displays and marketing.
• Oversees retail sales and marketing of products; analyzes sales making recommendations for products.
• Responsible for monitoring inventory and supplies for the Spa (including retail, service provider and Shake Bar supplies) and ordering, when necessary, with manager approval.
• Coordinates, oversees and completes monthly inventory. Physically counts retail inventory monthly and enters month ending inventory into the management system.
• Updates, monitors, and is responsible to maintain the Spa appointment software. Updates appointment availability on website as needed.
• Monitors customer satisfaction by receiving feedback from Members and Guests after service is provided.
• Takes food and beverage orders for Members using the Spa, Locker Rooms and take our services.
• Delivers to go food orders to members ordering in person or via mobile ordering. Processes payments and charging proper member account.
• Maintains front desk cleanliness of the spa desk and retail shelves, and displays.
• Oversees Shake Bar throughout shift; taking orders, preparing and billing for shakes as well as keeping area stocked and cleaned.
• Ensures proper coverage of desk not leaving area unattended.
• Assists with marketing, preparation and cleanup of special events and product displays.
• Organizes, displays and restocks spa retail.
• In addition, other duties may be required as directed by management.

Education and Experience:

· High school diploma or equivalent required; Bachelor’s preferred.

· Minimum 2 years’ experience in customer service with demonstrated ability to solve guest issues or complaints. Spa and/or retail experience preferred.

· Private club/country club experience preferred.

Physical and Environmental Requirements:

• Prolonged periods sitting at a desk and working on a computer.
• Must be able to regularly stand to escort guests and/or make smoothies.
• Must be able to bend, kneel, push and pull over the course of a shift.
• All employees must maintain a neat, clean and well-groomed appearance per The Buffalo Club’s appearance standards.
• Will be occasionally required to perform job functions outdoors and be exposed to sun, heat, humidity and other elements.
• Must be able to work a flexible shift that includes early mornings, nights, weekends, holidays, split shifts, and extended shifts.
• Must be 18 years of age.
• Must be able to operate all related equipment.
• Must be able to lift up to 25lbs at times.

Job Type: Part-time

Pay: $20.00 per hour

Expected hours: 20 – 24 per week
