Role Summary: 

This is a great opportunity to start a career in Freight Forwarding / Supply Chain Management. This person will sit at reception and support our other logistics teams. We have been successfully preparing people in this role to be promoted to a full-time position on an internal team within 12-18 months. 

Responsibilities (other duties as may be assigned): 

  • Answer and direct incoming business calls on a multi-line phone system, determining purpose and forwarding calls to appropriate personnel. 
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable. 
  • Responding to all customer inquiries in a timely manner.
  • Answers questions about organization and provides pertinent information to callers.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. 
  • Distributes incoming mail and packages and manages outgoing mail and packages. 
  • Schedules meetings for executives when requested. 
  • Maintain supplies and inventory and maintain the office. 
  • Assists business leaders with special projects and events. 
  • Performs other clerical duties and/or administrative work as needed. 

Logistic Duties (assigned when applicable):

  • Sending out Master Bills of Ladings to the carriers. 
  • Sending received checks to lockbox and some original house bills to JFK Branch.
  • Sorting received invoices by file number and directing them to the correct person.
  • Scanning customs brokerage files, renaming them, and uploading them. 
  • Sending out loading confirmations and loading confirmation revisions. 
  • Sorting online documents sent by various shippers, renaming them, and uploading them. 

Qualifications: 

  • Exhibits professionalism – responding politely and promptly to external parties via phone or in-person visitors. 
  • Impressive communication skills – speaks clearly, listens, and gets clarification and responds well to questions. 
  • Dependable – follows instructions, responds to management direction, takes responsibility for own actions, and completes tasks on time or notifies appropriate person with an alternate plan.
  • Quality – accurate, thorough, and always looking to improve. 
  • Detail-oriented – quality and precision-focused.
  • Outcome-oriented – results-focused with strong performance culture.
  • Presentable and comfortable in a corporate environment. 
  • Knowledge of Microsoft Word and Microsoft Excel.
  • Prior work experience is not required but is a plus (especially in an office setting). 

Salary range: $17.50/hr (Part-Time)
