PRIMARY RESPONSIBILITIES
The Part Clerk supports the Fleet Manager and helps administer the vehicle management program. Vehicle maintenance is essential to servicing our Fleet in order to meet our service schedules and customers. Other responsibilities include data entry, auditing/inventory of the parts room, helping with vendor relations, and assisting the fleet manager in other tasks necessary to the operation of the shop. The fundamental reason this classification exists is to procure, record, store, and issue automotive, heavy equipment, and other related repair parts and supplies.
ESSENTIAL FUNCTIONS:
To assist in the purchasing of a variety of parts for Fleet Maintenance and facility’s operations, maintain parts room, coordinate, and control inventory program, pickup and deliver parts upon request and see that all parts are charged to the proper accounts using a computerized maintenance management system.
  • Updates a perpetual, computerized inventory control system and verifies the physical stock count against the computer every time stock is added or removed;
  • Performs cyclical physical inventories of automotive, heavy equipment, and other related repair parts and supplies to reconcile physical count with inventory records;
  • Orders parts from contracted vendors that are not in stock, but are required immediately for a mechanical repair;
  • Charges requested automotive and heavy equipment parts against the proper vehicles;
  • Issues parts, tools, and equipment to automotive, rebuild, and heavy equipment mechanics;
  • Receives and stocks parts and tools;
  • Corrects invoices, repair orders, and delivery papers as needed for proper billing and payment of parts;
  • Verifies physical stock count against computer generated inventory reports;
  • Prepares automotive and heavy equipment parts requisitions;
  • Cleans storeroom, stocks shelves, and maintains storeroom to insure a safe and orderly work area;
  • Assists in parts returns and warranty related issues;
  • Review and ensure that written specifications for supplies, materials, and equipment conform to good and accepted purchasing practices and to industry standards.
  • Maintains regular and reliable attendance;
  • Maintain records, memos, letters, and related documentation on hazardous materials. Performs other duties as assigned.
In addition to performing the essential functions, this position may be required to perform a combination of the
following supportive functions, with the percentage of time performing each function to be solely determined
by the Supervisor and based on operational needs, including but not limited to the following.
  • Interact with automotive mechanics at a highly technical level.
  • Prepare equipment parts purchase specifications.
  • Maintain required purchasing records.
  • Use automotive parts catalogs to identify correct parts, manuals and resources to be ordered.
  • Ensure that WOA obtains the best value for parts given the required material specifications, delivery
  • urgency, and availability.
  • Operate a personal computer and related word processing and/or spreadsheet software.
  • Evaluate needs and estimate future supply requirements for a variety of parts and related items.
  • Select and recommend the purchase of routinely used materials and supplies.
  • Communicate clearly and concisely, both orally and in writing.
  • Type at a speed necessary for successful job performance.
  • Perform arithmetic calculations accurately and rapidly.
  • Operate a forklift and drive a medium-size truck.
  • Establish and maintain cooperative work relationships with those contacted during the course of work.
WORKING CONDITIONS
The work environment characteristics described herein are representative of what an employee encounters while performing the essential functions of this job.
  • Required to use motor coordination with finger dexterity (such as keyboarding, machine operation,
  • etc.) most of the workday.
  • Required to exert physical effort in handling objects less 50-75 pounds most of the workday.
  • Required to be exposed to physical occupational risks (such as cuts, burns, exposure to toxic
  • chemicals.) often.
  • Required to be exposed to physical environment which involves dirt, odors, noise, weather extremes
  • or similar elements often.
  • This position requires full range of bending at the waist and full use of all extremities and back
  • muscles. Must be able to bend, stretch, kneel, and squat to perform
WORK HOURS
  • Start time appx. 9am to 10am (discussed at Interview) , Monday-Sunday, 40hr week /-, actual hours can change.
COMMUNICATION DEMANDS
  • Requires verbal and written communication with supervisor, coworker, and others.
  • Read, write, and comprehend in English.
  • Must be able to communicate using tablets, phones or other devices as required.
MINIMUM QUALIFICATION REQUIREMENTS :
Skills/Knowledge:
  • Materials, supplies, and equipment used in equipment parts industries.
  • Principles of vehicle parts management.
  • Specific terminology of the equipment parts industry.
  • History and format of equipment parts numbering.
  • Warehousing/store keeping methods and procedures.
  • Inventory control methods and procedures.
  • Techniques for establishing sources of supply.
  • Basic computer skills with an emphasis on Windows-based programs.
  • Principles and procedures of record keeping and inventory management.
  • Hazardous materials storage and handling.
Education/Experience:
  • High school diploma or equivalent education
  • 2 years of relevant work experience
  • Some technical knowledge regarding vehicle maintenance and repair (preferred)
  • Proficient with Microsoft Office; and Excel required
  • Work experience that required the use of a computer
  • General computer knowledge
