Job Title: Front Desk Representative/Medical Receptionist

Location: 909 Pine Avenue, Niagara Falls, NY

Position Type: Part-time

About Us: WNY Medical, PC provide a diverse variety of services for our patients. Our services include primary care, dermatology, endocrinology, pain management, gynecology, DEXA scans, DOT, and immigration physicals. We also provide services in the fields of psychiatry, nephrology, occupational medicine, hearing tests, mammograms, and retina exams. Select offices also have on-site labs available for your convenience. We accept all major insurances.

Job Description: We are seeking a dedicated and organized individual as a front desk receptionist to join our team. The ideal candidate will be responsible for providing exceptional customer service to patients and visitors, managing administrative tasks efficiently, and contributing to the smooth operation of our medical facility.

Duties and Responsibilities:

  • Answer phone calls promptly and courteously, directing callers to the appropriate department or individual as needed.
  • Greet patients and visitors in a friendly and professional manner upon arrival at the office or hospital.
  • Maintain accurate records of patient information, including medical history and insurance details, ensuring confidentiality and compliance with privacy regulations.
  • Explain office policies and procedures to patients and visitors, addressing any questions or concerns they may have.
  • Process payments for services rendered, accurately recording transactions, and providing receipts as necessary.
  • Schedule appointments based on the availability of healthcare providers, coordinating with patients to find suitable dates and times.
  • Remind patients of upcoming appointments via phone calls or messages and assist in scheduling off-site services as needed.
  • Deposit cash to the bank on a daily or bi-daily basis, ensuring accurate documentation and adherence to financial procedures.

Requirements and Skills:

  • Proven experience as a front desk representative or in a similar role within a medical setting.
  • Familiarity with office equipment such as fax machines, printers, and multi-line phone systems.
  • Knowledge of Electronic Medical Record (EMR) systems, experience with MEDENT is a plus.
  • Proficiency in English (both oral and written); fluency in Spanish is advantageous.
  • Excellent communication and interpersonal skills, with a customer service-oriented approach.
  • Strong organizational and multitasking abilities, capable of managing various responsibilities efficiently.
  • Problem-solving skills to address patient inquiries and resolve issues effectively.
  • High school diploma or equivalent; additional qualifications in healthcare administration or related fields are desirable.
  • Mandatory drug test and police verification: Selected candidates will be required to undergo a drug test and provide police verification upon selection for hiring.

Benefits:

  • Health Insurance: All full-time employees (30-35 hours/week) are eligible for health insurance after a 90-day introductory period. Open enrollment is on June 1st of each year or after the end of the 90-day introductory period.
  • Supplemental Insurance Coverage: All full-time and part-time employees are eligible for supplemental insurance coverage through Aflac. Open enrollment is on July 1st of each year.
  • Sick Hours: Full-time and part-time employees qualify for sick hours, which are accrued on a weekly basis. Employees earn 1 sick hour for every 30 hours worked.
  • Paid Time Off (PTO): PTO, or paid time off, can be used for personal days, vacations, emergencies, and similar purposes. Employees earn 1 day of PTO for an average of 75 hours worked over a period of 3 months.
  • 401k Benefit: Employees qualify for 401k benefits after 1 year of service, or upon reaching 1000 hours worked, whichever comes first.
