At the direction of the Front Office Manager, implement, train, and monitor all front office protocols at your assigned location.
Duties and Responsibilities:
1. Supervisor Duties:
A. Attend weekly management meetings with the Front Office Manager and the other Front Office Supervisors to discuss current issues/concerns (both process issues and human resource issues), areas of improvement, and overall operational health.
B. Oversee training of new employees.
C. At the direction of the Front Office Manager, ensure all front office positions are filled at the beginning of each day. Report any absent employees immediately to the Front Office Manager to find coverage. Ensure complete front desk and phone coverage at all times.
D. In conjunction with the Front Office Manager, monitor all front office protocols at your assigned location. Provide verbal feedback to staff that veer off protocol. If staff continue to disregard protocols, report these issues to the Front Office Manager for coaching and or potential disciplinary action.
E. Ensure completion of the No Show report daily including calling each patient who no showed or cancelled to reschedule.
F. Ensure all online appointment requests are completed daily.
G. Ensure all scanning is completed by day end.
H. Handle all patient balance issues as well as front desk complaints. Report these issues to the Front Office Manager.
I. Ensure all front office staff messages are worked within 24 hours.
J. Ensure each front office staff balances correctly at the end of each day.
K. At the end of each day, ensure all desk areas and common areas are clean, organized and free of PHI.
L. Print physician hospital and surgery list and ensure each physician gets one.
2. Front Office Duties:
A. Greet patients upon arrival. Customer service is the NUMBER 1 priority.
B. Check in patients and update patient information as needed. Scan forms and waivers into the patient’s record and attach the patient’s photo and appropriate flags. Track the patient’s location.
C. Collect copays, balances, and post to the patient’s account.
D. Set up payment plans as needed, based on protocol.
E. Schedule appointments. Complete full registration when scheduling new patients.
F. Do a preliminary balancing to correct any errors before leaving for the day.
G. Make sure adequate change is in drawer at all times.
3. Perform other tasks as needed or directed by the UAMPA management team.
