Leading land development firm Poulos & Bennett is actively seeking a Project/Permit Coordinator, for immediate employment in our Orlando, Florida office. This position provides a unique opportunity to join an established, well-respected, and growing Land Planning, Civil Engineering, and Construction Management firm with a variety and diverse range of projects. Our teams develop solutions to policy and design challenges and focus on providing our Clients with the highest quality services and technical expertise.

Responsibilities:

  • Research in order to prepare agency Applications and Forms (what is required from each AHJ, hard copy/electronic);
  • Coordinate with clients and/or owners to obtain signatures on Apps, fee checks, warranty deeds, HOA documents, legal documents (and any items required by agencies);
  • Coordinate with consultants for their plans, reports and documents required by each agency submittal;
  • Create DRAFT Submittal folders so that documents/reports/plans can be added/copied to at time of submittal;
  • Prepare submittal cover letters and/or resubmittal letters; due diligence
  • Submit/upload/deliver submittal to each agency per the requirements of that agency; update permit log
  • Check with agencies on the status of review;
  • Provide clients/owners and consultants, the Submittal or Response Letter with a Sharefile link of the full “Submitted Package” for their records;
  • Save all Comment letters and emailed comments received from agencies and provide to clients;
  • Obtain and save Approval letters, stamped approved Plans, and Permits and distribute to clients
  • Research and prepare permit applications; coordinate signatures and fees with clients
  • Finalize submittal packages to ensure accuracy, submit to various agencies; send submittal notifications
  • Keep up with changing agency processes and requirements
  • Download, save, distribute approvals, permits, stamped plans; update permit trackers
  • Track submittals, send follow ups, keep clients informed of any changes

Skills and Abilities:

  • Proficient in MS Excel, Word, Outlook
  • Highly organized, detail oriented
  • Able to manage multiple tasks and meet deadlines
  • Must work well in a team environment

Qualifications:

  • BA/BS None or demonstrated equivalency of experience and/or education
  • Experience and knowledge with Microsoft Office Suite; Excel, Outlook, PowerPoint
  • Experience with construction and engineering document controls
  • Experience with gathering and submitting updates to a project database
  • Valid Florida Driver’s License and reliable vehicle
  • 1-3 years of experience in land development, project management (residential or commercial) related experience preferred.
  • Land development and construction experience preferred
