Key Responsibilities
As a Veterinary Receptionist at Rainbow Veterinary Hospital, you will be the first point of contact for our clients. You will play a crucial role in ensuring exceptional customer service and creating a positive and welcoming environment, in addition to:
- Greeting and welcoming clients, both in-person and over the phone, ensuring a positive and friendly experience.
- Scheduling appointments, managing the reception area, and maintaining a smooth flow of clients and patients in and out of the hospital.
- Effectively communicating with clients, addressing their inquiries and providing accurate information regarding veterinary services, procedures, and appointment logistics.
- Accurately entering client and patient information into our practice management software, ensuring comprehensive and up-to-date records.
- Assisting in handling financial transactions, including processing payments, managing invoices, and providing SOAP notes for insurance purposes.
- Collaborating closely with the veterinary team to ensure seamless coordination between reception and medical staff.
- Conducting follow-up calls to clients after their pets have been seen by our veterinarians, ensuring their satisfaction with the provided care and addressing any post-visit questions or concerns they may have.
Requirements
- Minimum of 2 years of veterinary reception experience, demonstrating an understanding of the unique demands of a veterinary setting.
- Basic knowledge of veterinary medicine and terminology to effectively communicate with clients and assist them with their inquiries.
- Exceptional communication skills, both verbal and written, enabling clear and effective interaction with staff, clients, and other team members.
- Strong attention to detail and follow-through to ensure accurate and timely completion of administrative tasks.
- Outstanding customer service skills to provide exceptional service to our valued clients.
- Ability to remain calm and composed in high-stress situations, maintaining professionalism and delivering excellent care during challenging moments.
