Position Title: Administrative Assistant I – Part-time
Organization: Lewis and Clark County, Public Works
Pay Rate: $17.49 per hour to $18.52 per hour
Position Type/Status: Permanent, Part-time, Non-Exempt
Lewis and Clark County is hiring for a Part-time Administrative Assistant I. Under general supervision of the Assistant Public Works Director, this position performs office support duties for the Public Works Department.
This position is part time, .75 FTE and the schedule will be Monday – Thursday, 8:30am to 4:00 PM with an hour lunch and then Friday 8:30am to 12:30pm.

Public Works Administration oversees the administration and financial operations of all programs, services, and projects of the Lewis and Clark County Public Works Department.

Duties
- Performs administrative support duties including opening and distributing mail; composing letters, memos, and reports, and maintaining files;
- Performs research and provides financial and statistical information to management for specific projects;
- Performs cash receipting and posting payments to accounts;
- Communicates information about a wide variety of Public Works’ programs and policies to the public, vendors, and government agencies in a tactful, patient, and pleasant manner;
- Records and transcribes meeting minutes;
- Sets up and maintains paper and electronic filing systems;
- Drafts and distributes public service announcements;
- Data entry into several Public Works databases;
- Forwards complaints, dead animal pick-up requests road related emergencies and other right of way issues to appropriate staff member;
- Issues overweight permits;
- Edits, updates and publishes on Public Works web page;
- May review work done by others to check for correct spelling and grammar;
- Performs other duties as assigned.

- Procurement practices;
- Modern office methods and procedures, including filing, indexing procedures, and computer usage

- Skill in organizing resources and establishing priorities;
- Ability to use common office machines;
- Operate computer and applicable software (Windows, MS Office, GroupWise, fleet management and PubWorks);
- Maintain files and process paperwork according to prescribed standards;
- Compile, verify and code data according to prescribed standards;
- Develop work processes, specific goals, and work plans to accomplish work as assigned;
- Understand and follow oral and /or written policies, procedures, and instructions;
- Communicate effectively verbally and in writing;
- Establish and maintain effective relationships with superiors, staff, and customers.
Qualifications
The knowledge, skills, and abilities are acquired through a combination of education and experience equivalent to a High School diploma and one (1) year experience office support experience. Associates degree in Business or Office Technology and related office experience preferred. Other combinations of education and experience may be considered.
Special Requirements
Must have a valid driver’s license.
Physical Demands
Duties are generally performed in an office setting where hazards and discomforts are controlled and modifiable. Position requires knowledge and use of typical office equipment including telephone and personal computer. Must be able to move or lift materials weighing up to 30 pounds. Position requires regular contact with fellow employees and citizens.
