About Us: We are a small, woman and minority-owned childcare center in the Chicago area looking to hire an enthusiastic and dedicated Administrative Assistant. Job Description: We are seeking a dedicated and enthusiastic Administrative Assistant to join our team. The ideal candidate will be flexible, detail-oriented, and highly organized. As the Administrative Assistant, you will play a crucial role in supporting the administrative functions of the center while also being willing and able to step into the classroom as needed. This dual role requires a balance of administrative skills and a passion for working with children.

Key Responsibilities:

  • Assist with the day-to-day administrative operations of the childcare center.
  • Maintain detailed and organized records, including staff and child files, attendance, and incident reports.
  • Answer phone calls, respond to emails, and manage the center’s correspondence.
  • Assist in the enrollment process, including tours, registrations, and maintaining waiting lists.
  • Coordinate and schedule meetings, appointments, and events for the center.
  • Manage inventory of supplies and materials, ensuring the center is well-equipped.
  • Support the Director with various administrative tasks and special projects as needed.
  • Step into the classroom to provide support to teaching staff during absences or busy periods, demonstrating flexibility and a hands-on approach.
  • Communicate effectively with parents, addressing their concerns and providing regular updates on their child’s progress.
  • Assist in maintaining a clean, safe, and organized environment for children and staff.

Qualifications:

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in Early Childhood Education, Business Administration, or a related field preferred.
  • Minimum of 2 years of experience in an administrative role, preferably in a childcare or educational setting.
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
  • Exceptional communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and experience with childcare management software is a plus.
  • Ability and willingness to work in a classroom setting as needed.
  • CPR and First Aid certification (or willingness to obtain upon hire).
  • A loving, caring attitude, patience, great communication skills, enthusiasm, and adaptability.
