Grand Tradition is Hiring a Concierge Near Fallbrook, CA

JOB SUMMARY AND ACCOUNTABILITIES:

This position is accountable for attending to visitors and answering inquires on the phone and face to face; supplying accurate information regarding the organization to the general public, clients and customers. This position is also accountable for routine administrative functions for which accuracy and attention to detail are imperative.

Wednesday through Friday only.

ESSENTIAL FUNCTIONS:

  1. Greet all guests and provide various information as requested, answer telephones and assist with Estate questions. Screen, direct calls, take and relay messages. Support Sales and Events Department by scheduling wedding tour appointments, maintain the leads database and confirm all scheduled tours two days prior to event date. Collect wedding and other various payments for events.
  2. Support Veranda Restaurant Department by providing accurate information, take reservations and confirm reservations two days prior to event date. For restaurant guests: checking reservations and communicating with therestaurant for seating when applicable. Complete picnic and box lunch orders,relay information to kitchen and collect payment.
  3. Support Garden guests by providing accurate information, collect admission fees and supplying visitors with garden guides, admission stickers and directing them to the gardens.
  4. Keep rack cards and paper menus fully stocked, light candles before wedding tours and keep reception area and sales office (rack cards, photo books etc.) orderly, perform checks on areas throughout the day.
  5. Perform opening and closing duties, turn on/off air conditioners and any other job tasks that may arise.

QUALIFICATION STANDARDS:

  1. Minimum of a high school diploma or GED, or 5 years' experience of hospitality service or related experience.
  2. Ability to work under deadlines, prioritize work schedules to meet deadlines and multitask in a fast paced environment.
  3. Must be able to work well with all levels of employees and customers.
  4. Requires a high level of interpersonal and communication skills.
  5. Ability to perform functions using various equipment and software such as computers, data entry, MC Excel, MS Word, MS Access, etc.
  6. Ability to execute assigned work accurately, including collaboration with all staff.
  7. Must have high level of integrity and professionalism. Work requires the ability to cheerfully communicate with customers to provide an environment that is welcoming and friendly.
  8. Expert knowledge of customer service principles and practices.
  9. Requires a high degree of organizational skills as well as a self-starting ability.
  10. Ability to remain flexible and provide open communication to Management.
  11. Knowledge of administrative and clerical procedures
  12. Knowledge of Grand Tradition product and service offerings in order to clearly and accurately communicate with potential customers the value of such products and services.
  13. Thorough knowledge of department policies, practices, operations, and oral communication skills to perform routine administrative duties such as arranging meetings, responding to routine inquiries from telephone callers or visitors, and gathering background information for routine reports.
  14. Ability to analyze routine administrative details of limited complexity such as resolving minor scheduling conflicts of tours or reservations, assignment of event coordinator events and other conflicts.
  15. Professional personal presentation as stated in company policy manual.

PHYSICAL STANDARDS:

  1. Must be able to sit for long periods of time.
  2. Must be able to talk clearly and hear responses.
  3. Must have the ability to receive detailed information through hearing and to make discriminations in sound.
  4. Must be able to stand, walk, crouch, and climb stairs.
  5. Must be able to reach, grasp and finger objects and operate business equipment.
  6. Manual dexterity required for keyboard functions, and repetitive motions.
  7. Minimum visual acuity requirements include reading numbers, printed instructions and video display terminals.
  8. Must be able to visually identify distinct colors.
  9. Must be able to exert weights of up to ten (10) pounds of force on an occasional basis and a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
  10. Employee is not substantially exposed to adverse environmental conditions.
