Full-Time Year Round

Travel Required: Hollister, CA to Yuma, AZ

DEFINITION:

Under supervision of HR/EHS Manager, coordinates and facilitates the human resource processes at all business locations. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance and HRIS entry.

DUTIES AND RESPONSIBILITIES:

The duties listed below represent the various types of work that may be performed. The omission of specific statements of duties does not exclude them if the work is related or a logical assignment to this class.

  • Enters, maintains, and/or processes information in the payroll system; information may include employee’s hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
  • Administers health and welfare plans, including enrollments, changes, and terminations. Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
  • Ensures proper processing of payroll deductions for taxes, benefits, charitable contributions, and other deductions.
  • Issues, or reissues, physical or replacement checks or direct deposits due to payroll errors or final discharge.
  • Reports and processes quarterly Worker’s Comp payments.
  • Answers and directs departmental phone calls.
  • May assist with preparation of human resource reports such as attendance, new hire, and turnover reports.
  • Performs customer service functions by answering employee requests and questions.
  • Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
  • Assists with processing of terminations.
  • Assists with the preparation of the performance review process.
  • Assists with recruitment. Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.
  • Schedules meetings and interviews as requested by the HR Manager.
  • Makes photocopies; mails, scans, and emails documents; and performs other clerical functions.
  • Files documents into appropriate employee files.
  • Prepares new-employee files.
  • Performs other related duties as assigned.

Knowledge of:

  • Basic principles and practices of human resources including recruitment and benefits.
  • Standard office practices, procedures, and equipment.
  • Project/program coordination and implementation.
  • Applications of automated information systems.
  • Applicable laws, regulations, statutes, policies, and procedures (Federal/State/City) applicable to work unit.
  • Business English, spelling, grammar, punctuation, and arithmetic calculations.

Ability to:

  • Coordinate and prioritize multiple tasks, projects, and program activities.
  • Use automated information systems to develop and maintain databases, spreadsheets, and documents.
  • Research and compile information and writing reports and recommendations.
  • Interact with the public and providing professional customer service.
  • Maintain high level of confidentiality.
  • Establish and maintain effective working relationships.
  • Communicate effectively, orally and in writing.
  • Maintain strict confidentiality.

MINIMUM QUALIFICATIONS:

Education, Training and Experience:

High school diploma or GED equivalent. Three years of full-time administrative support or customer service experience. Human Resources experience in payroll, employee benefits, recruitment and/or classification is highly desirable.

Special Requirements:

  • Ability to work a flexible schedule.
  • Bilingual; English and Spanish preferred.

Physical Demands

While performing the duties of this job, the employee is regularly required to sit, walk and stand; talk and hear; use hands to finger, handle, feel or operate objects, tools or controls; reach with hands and arms; and perform repetitive movements of hands or wrists. The employee is frequently required to lift up to 30 pounds unaided. Specific vision abilities required for this job include close vision and the ability to adjust focus.

Mental Demands

While performing the duties of this class, an employee uses written and oral communication skills; reads and interprets data, information and documents; analyzes and solves problems; uses math and mathematical reasoning; performs highly detailed work; deals with multiple concurrent tasks; and interacts with others encountered in the course of work, including frequent contact with customers and/or the public and dissatisfied/abusive individuals.

Work Environment

The employee works in an office environment where the noise level is usually quiet.

OTHER CONDITIONS OF EMPLOYMENT:

May require after hours work including evenings, weekend and holidays.

Job Type: Full-time

Pay: From $40,560.00 per year
