Clinical Behavior Analysis, LLC is Hiring a Service Coordinator/RBT Near Louisville, KY

BASIC FUNCTIONS: The Service Coordinator / RBT will dedicate approximately 50% of their hours each week to client intake, schedule coordination and other administrative support such as providing regular oversight, recruitment, and planning for assigned insurance service sites to ensure fidelity of program procedures, growth of developed therapy interventions, and retention of staff/family participation within the program. The other 50% of hours each week will be dedicated to RBT direct care sessions. Occasionally, additional direct care hours may be assigned based on weekly coverage needs.

QUALIFICATIONS:

  • Be at least 18 years old
  • High school diploma or equivalent
  • 1 or more years of experience as a Registered Behavior Technician
  • Fluent in Microsoft Excel, Google Drive, and Word
  • Have and maintain a safe driving record
  • Have a safe and reliable vehicle
  • Have and maintain a valid driver’s license and active auto insurance
  • Meet all personnel and training requirements for independent functioning (including background checks and drug screens)

PREFERRED QUALIFICATIONS:

  • Undergraduate degree in Business Administration, Human Services, Applied Behavior Analysis or another related field
  • 1 year of experience providing administrative duties similar to this role
  • Experience with scheduling highly preferred
  • Adult & Pediatric First Aid/CPR/AED certification
  • Safety Care - Crisis Prevention Training
  • Experience with using electronic health records (EHR) systems

PHYSICAL REQUIREMENTS:

  • Able to lift up to 50 pounds
  • Able to lift and carry clients with adaptive equipment
  • Able to assume and maintain a variety of postures (kneeling, squatting, crawling, sitting, standing) for extended periods of time
  • Able to sit on the floor or stand for extended periods of time

SERVICE COORDINATOR RESPONSIBILITIES/DUTIES:

  • Assist DSO with maintaining waitlists, calling potential clients to conduct intake interviews, and answer service related questions
  • Assist the DSO with collecting new insurance client packets
  • Conduct verification of benefits (VOBs) for new/ongoing clients as assigned by DSO
  • Disperse and collect ongoing insurance client renewal packets (completed annually or when changes occur)
  • Twice a year (typically during insurance change cycles of January 1st and July 1st) complete VOBs for ongoing clients to determine if their insurance on file has changed
  • Develop on-site RBT schedules, working with DSO on RBT client-matching, and RBT caseload development
  • Weekly review utilization of clinical hours in order to ensure maximum billing opportunities
  • Evaluate the service center's needs to ensure a safe operating environment and report any safety concerns to the designated staff
  • Help coordinate program processes and implementation of values aligned the with Adaptive Behavior Center program
  • Assist with ensuring that the programming values and directives (as provided through the DSO and VP of Clinical Services) are being implemented across service sites
  • Audit progress notes in EHR to scheduled client session times to ensure billing fidelity
  • Assist with auditing notes for accuracy and completion according to insurance billing guidelines
  • Assist with auditing client files (located on Google drive)
  • Assist with monitoring facility grounds and ensuring everything is in working order
  • Assist with ensuring that on-site supervisors are monitoring PTO requests and other scheduling tasks to ensure that all clients are fully staffed.
  • Assist in the hiring process, orientation development, and maintaining new hire documentation/correspondence throughout their orientation process
  • Assist DSO in coordinating CPR scheduling for new hires and recertifications for current employees and tracking and maintaining records
  • Assist with ensuring staff are trained on policy updates/changes through direct training and coordinating training with DSO and VP of Clinical Services.
  • Facilitate recruiting efforts for all insurance BCBA and BT positions and attend/plan sponsored CBA events such as FEAT, the Autism Walk, etc.
  • Conduct outreach to community providers to educate and encourage referrals
  • Maintain an inventory of office-based administrative and therapy supply needs and communicate needs to the DSO.
  • Assist with program development opportunities by attending job fairs across the state of Indiana & Kentucky (and tri-states as appropriate) as well as professional conferences; will gain information and follow hiring guidelines [vetting processes]
  • Provide on-site administrator duties when leadership team members are unavailable
  • Maintain Safety Care training for regional RBT’s
  • Adhere to all CBA policies and procedures
  • Perform additional duties as assigned by the leadership team

RBT RESPONSIBILITIES/DUTIES:

  • Work with the assigned BCBA to provide the position requirement of 20 direct therapy RBT hours per week to clients in the center, home, community, and school settings
  • Consistently implement treatment plans with fidelity (under BCBAs direction) using treatment protocols for a wide variety of domains such as toilet training, communication, social, and adaptive living skills
  • Prepare program materials for assigned clients
  • Collect and maintain accurate data
  • Submit billing (progress notes and relevant data) within the designated time frame using the electronic health record system
  • Assist with parent training and clinical assessments, as needed
  • Communicate effectively with the BCBA regarding learner's progress
  • Communicate appropriately and effectively with colleagues and families, as needed
  • Collaborate with the treatment team including clients, parents and caregivers, outside professionals, and co-workers
  • Contribute to a positive and productive work environment and culture by actively participating in team projects, listening to others, offering support, and resolving conflicts constructively
  • Participate in RBT supervision for a minimum of 5% of the hours spent providing applied behavior-analytic services per month
  • Track supervision hours using the RBT tracker according to procedure
  • Ensure that supervision includes at least 2 face-to-face, synchronous contacts per month, during at least one of which the supervisor observes the RBT providing services
  • Responsible for annual completion of the 12-task direct observation RBT competency assessment with their supervisor
  • Ensure the correct responsible certificant is listed on their BACB account
  • Responsible for annual renewal of RBT certification as mandated by the regulatory body to maintain certification
  • Work ethically and with integrity while following the BACB Ethical Code
  • Utilize a person-centered approach to treatment (assent-based)
  • Maintain a healthy, safe, and organized work and therapy environment (including personal vehicles if transporting clients) and complete daily cleaning assignments
  • Utilize safe and appropriate handling procedures when working with clients
  • Report client incidents in a timely manner and according to policy
  • Maintain client confidentiality and dignity in all environments
  • Understand and adhere to HIPAA policies
  • Adhere to time and attendance policies and maintain a record, in good standing, of regular and reliable attendance and punctuality, to provide quality and consistent client care

  • Successfully complete a 90-day mentorship and development period
