Title: CCC Data Entry & Parent Referral Specialist

FLSA Status: Non-Exempt Employment Status: Part-time 30 hours weekly, Shift: M-Th 8:30 - 3, F – 8 -12

Summary

A willingness to learn the program and process. Responsible for the daily support services needed for the Child Care Connections database and parent referral position. Provide data support for all functions of Region 7: Child Care Connections of Cleveland County and Greater Links for Child Care Referral services (Cleveland, Lincoln, and Gaston counties). Maintain and update provider information in the Work Life Systems (WLS) database. Prepare reports as needed to support the agency's mission and goals; ensure accuracy and expediency in completing required reports. Offer support and backup to the Parent Referral Specialist as needed. This position will report directly to the local agency's executive director.

Minimum Qualifications

· Associate or Technical School degree in a related field (Early Childhood Education (ECE) degree preferred).

· Two (2) years of administrative experience in an office environment and Microsoft Office, Word, Excel, and database systems. ECE experience within the classroom is a plus.

· Intermediate skill level in Microsoft Office Suite is preferred.

· Effective oral and written communication skills required.

· Quantitative ability required.

· N.C. Driver's License, Auto Liability Coverage, and Transportation

Knowledge, Skills, and Abilities

1. Current knowledge of standard office practices and procedures.

2. Current knowledge of North Carolina Child Care Regulations – preferred.

3. Working knowledge of computers, Microsoft Office, and database systems.

4. Ability to locate and retrieve information from a variety of sources and to compile the information when given general directions.

5. Ability to establish good and culturally sensitive rapport with colleagues and the public.

6. Ability to exercise sound judgment when guided by general instructions.

Supervisory Responsibilities

This position has no supervisory responsibilities.

Essentials Functions -

8 to 12 week training to facilitate position

1. Current knowledge of standard office practices and procedures.

2. Working knowledge of computers, Microsoft Office, and database systems.

3. Assists with developing surveys for providers to gather information for accurate records as needed.

4. Utilizes Work Life Systems (WLS) database for collecting and storing provider and client information; receives appropriate training on computer software (WLS).

5. Enters client/provider data into the Work Life Systems (WLS) database and assists in maintaining database accuracy and completeness using a system of checks and balances and updates data promptly.

6. Prepares statistical data for early care and education and school-age care reports; conducts boundary searches for the public and private sector, as needed, with information related to supply and demand in the communities served by Region 7.

7. Provides professional development and technical assistance input based on statistical data for early care and education and special project reporting.

8. Meets the standards set forth by the North Carolina Child Care Resource and Referral Council for quality assurance on referral calls, including understanding the characteristics of quality childcare, identifying developmentally appropriate environments, and helpful ways to work with childcare providers.

9. Maintains a working knowledge of the North Carolina Child Care Regulations to address consumer questions on licensing issues.

10. Maintains a working knowledge of various community and family support services and refers consumers to these services when appropriate. (Including knowledge of appropriate sources of subsidies and other financial support

11. Offer support to the Parent Referral Specialist to complete follow-up calls to clients to determine child placements and satisfaction with the service provided.

12. Provides childcare referrals to parents/consumers through phone calls and/or walk-in visits; completes searches for childcare on a timely basis. Offer support and backup to the Parent Referral Specialist as needed.

13. Understands and can explain characteristics of quality childcare, how to identify developmentally appropriate environments for preschool children, and helpful ways to work with providers.

14. Maintains a working knowledge of diversity in the area and maintains data on special populations, labor force, etc.

15. Maintains computer database for disseminating parent referrals. Receives appropriate training on computer software and trains other CCR&R staff on software as deemed appropriate or necessary by the Executive Director.

16. Collects provider and parent data required by the North Carolina Child Care Resource and & Referral Network.

17. Compiles and analyzes provider data and parent data every quarter and disseminates information to appropriate sources, particularly CCR&R staff, as a tool in developing recruitment strategies and program goals and objectives.

18. Maintains all necessary reports, records, and surveys accurately and timely as grant contracts require.

19. Receives incoming consumer complaints according to approved operating policies and procedures for Child Care Connections.

20. Updates provider database per North Carolina Child Care Resource and Referral Guidelines.

21. Distribute child resource materials to the Department of Social Services and local businesses.

22. Performs clerical tasks as necessary to complete assigned work and efficient office operations.

23. Coordinates with other agency staff to support all fundraising activities and events.

10. Assist the parent referral specialist in preparing parent packets for consumers.

11. Updates agency's Facebook page weekly

12. Carries out other administrative support activities as assigned by the Executive Director

12. Requires the need for flexible scheduling, including evenings and weekends.

Physical Demands

This is a partially sedentary role; however, some physical requirements are required during travel and events. This would require the ability to lift up to 25 lbs. unassisted, bend, and stand for long periods as necessary.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Pay: $22,000.00 - $25,000.00 per year
