City of Springfield, MA is Hiring an Investigations Unit Analyst Near Springfield, MA

Position Purpose/Summary

Responsible for all administrative functions in the Springfield Police Department’s Internal Investigations Unit. Works with and serves as a liaison with attorneys and staff from the City law department pertaining to pending lawsuits of the department. Works in cooperation with the Springfield Law department and the Community Police Hearing Board. No supervision is exercised over other employees.

Essential Functions

  • Performs specialized clerical work requiring knowledge of departmental operations.
  • Independently gathers facts and prepares reports requiring research and personal inquiries.
  • Prepares correspondence in relation to work of the office.
  • Creates and maintains folders for investigations.
  • Maintain and utilize Excel spreadsheets for SO’s and PIE’s.
  • Maintains IIU Access Database: enters, updates, and scans information.
  • Emails case decisions to appropriate personnel.
  • Creates and mails complaint decision letters.
  • Produces and maintains the agenda of current investigations and hearings.
  • Assists with reviewing cases for grammatical errors.
  • Maintains spreadsheets for all complaints.
  • Tracks and orders office supplies.
  • Works with Procurement and Accounts Payable on purchase request and quotes.
  • Scans and tracks Prisoner Injury Reports.
  • Emails request ADA prisoner injury reports.
  • Maintains relationships and works closely with various City departments in regards to scheduling hearings and requesting needed information.
  • Assists the City Law department with request concerning disciplinary histories of SPD personnel and all public record requests.
  • Works closely with CPHB to schedule hearings and maintain the bimonthly agendas.
  • Maintains MinuteTraq and the CPHB Access Database.
  • Responsible for the CPHB annual report.
  • Performs related work as required.

Knowledge, Skills, and Abilities

  • Considerable knowledge of modern office practices, procedures and functions.
  • Considerable knowledge of business English, spelling and arithmetic.
  • Working knowledge of departmental rules, regulations, procedures and functions.
  • Some knowledge of the principles of office management and supervision and ability to apply this knowledge of work problems.
  • Ability to develop, lay out and install clerical procedures and operations from general instructions and to plan, assign, coordinate the work of a clerical staff.
  • Ability to keep complex records and to prepare periodic reports from such records.
  • Ability to apply and interpret departmental policies and procedures.
  • Ability to prepare clear and concise oral and written reports.
  • Ability to establish and maintain effective working relationships with other employees and the public.

Education and Experience

  • Associates degree in related field.
  • Minimum of three years of experience in criminal justice or public safety field.
