Reports to:

Director of Financial Administration

Full Time Position

POSITION SUMMARY:

This position is responsible for all Accounts Receivable functions including but not limited to rent collections, subsidy payments, deposits, billing and applicable fees/credits within our portfolio. Must also provide administrative support to the Compliance, Operations and Resident Relations team, including varied administrative tasks, resident communication, and assisting with special projects as assigned.

PRIMARY RESPONSIBILITIES:

  • Income Collection
  • Manage accurate resident records within our management database.

Resident Relations

  • Provide quality customer service to all prospective and existing residents.
  • Assists in managing resident inquiries / complaints as needed.
  • Review resident ledgers and accounts to clearly explain account status to residents.

Administrative

  • Understand, operate and manage the computer receivables system in accordance with company policies and procedures.
  • Update and maintain required reports concerning receivables & subsidy collection
  • Process all security deposit dispositions in a timely manner.
  • Perform month-end closeout and first of the month billing.
  • Have a working knowledge of all company-approved software.
  • Assist with Compliance-specific assignments, including filing, subsidy/ ERAP applications, Residence Verification forms etc.
  • Assist with Resident Relations/Operational assignments including resident communication, work order assignments, key fobs, etc.

General

  • Attend meetings and training as required.
  • Perform any additional duties assigned.
  • Collect rental and other income checks, prepare/scan bank deposits.
  • Maintain a full understanding of tenant ledgers (debits and credits).
  • Conduct write-offs as directed and prepare accounts for escalation to collections.
  • Input rent income from multiple subsidy sources EX: public assistance, section 8, scrie/drie, FHEPS, ERAP etc.
  • Monthly receivables reporting
  • Participate in the month end reconciliation of multiple accounts on a weekly basis to ensure the accuracy of our management database as well as negate fraud.
  • Generate monthly billing file & ensure that tenants receive their invoices in a timely manner.
  • Issue appropriate notices when necessary (i.e., late payment, returned checks, etc).
  • Actively pursue recovery of delinquent monies through professional and effective collection methods.
  • Set up payment plans where possible. Payment plans to be approved by manager.
  • Liaise between legal department, attorneys and management on non-pay actions.
  • Maintain tenant security accounts.
  • Manage & respond to the rent tenant inquiry emails.

REQUIREMENTS:

  • Minimum 2-5 years’ experience in accounts receivable in a property management setting
  • Familiarity with property management software such as RealPage and/or Sage preferred
  • Must be proficient in Microsoft Office, Word, Excel
  • Education
  • Bachelor’s degree in accounting/Finance/Economics/Business Administration (preferred)
  • Possess a foundational understanding of accounting practices and requirements
  • Solid understanding of Rent stabilization law & fair housing guidelines.
  • Bilingual Spanish preferred
  • Bachelor’s Degree or minimum of 2 years of related property management experience and/or training; or equivalent combination of education and experience.
  • Strong written & verbal communication skills and attention to detail
