The American College of Surgeons Committee on Trauma (ACS COT) aims to develop and implement programs that support injury prevention and ensure optimal patient outcomes across the continuum of care. This role falls within the Trauma Quality Programs (TQP). These programs set the standards for optimal care of the injured patient, send auditors to ensure that hospitals are meeting those standards, provide hospitals with data reports on patient outcomes, and tools to improve clinical care.

Summary:

The Coordinator provides administrative and logistics support for programs, committees, projects, and work group activities. The position is responsible for managing site visit applications and all associated tasks around the application such as Orthopedic Trauma Liaison (OTL) forms, alternate pathway adjudication, Prereview Questionnaire (PRQ) access distribution, and all troubleshooting and customer service related to these tasks. This position is also responsible for TQP billing, expense form processes, reviewer packet creation, assisting with social media support, consult/liaison tracking support, and general Verification, Review, and Consultation Program (VRC/TQP) customer support. This person coordinates schedules and agendas for meetings and conference calls, tracks committee and work group members and projects, provides support for the monthly and annual budget processes, and helps to ensure the smooth operations of the overall program. The Coordinator will have responsibility for communications with all levels of staff and leadership in support of Trauma Quality Programs.

This exempt position will report to the Manager, Trauma Quality Programs Operations in the Division of Research and Optimal Patient Care. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.

Responsibilities:

  • Process all site visit applications, issue PRQs, coordinate the OTL, alternate pathway requirements, and provide excellent customer service to those applying for site visits.
  • Contact expiring centers and remind them to apply for reverification visits.
  • Coordinate the sending of post-site visit evaluations to centers and reviewers. Reports on these findings monthly to staff and leadership.
  • Assist in the monitoring and triaging of the VRC email inbox and voicemail.
  • Coordinate the completion of reviewer packets, process reviewer expense reports, and track travel expenses for budgeting purposes.
  • Provide logistical support for meetings and conference calls, and track liaisons and consultants across Pillar activities. Responsible for AV for internal staff meetings.
  • Conduct one-off billing and collections. Provide support for the annual and monthly budget processes. Tracks the number of verified centers and reports out to staff and surgeon leadership.
  • Coordinate and track processes for permissions process and reprint requests, social media posting, and team-wide administrative tasks.
  • Provide front line customer support for TQP participants and prospective customers, coordinate on boarding services to new customers, and maintain participant resources.

Required Education and/or Experience:

  • Bachelor's degree or higher from an accredited college or university is required.
  • Project management training and/or project coordination experience is a plus.
  • At least 1-2 years of similar or related professional experience is required.
  • Excellent communication skills required, both verbal and written.
  • Strong working knowledge of Microsoft Office products (Outlook, Word, Excel, and PowerPoint). Tech savvy with the ability to learn new software (such as Aptify, Ironclad contracting software, and annual conference software).
