Job Title: Office Manager

Job Type: Full-time

Work Location: 3 locations hiring for this job- Chesterfield, Henrico, Colonial Heights

Salary: Commensurate with experience

Schedule:

  • 8:00 AM - 5:00 PM (may vary)
  • Monday to Friday
  • No weekend or night shifts required, No on-call requirements

General Job Description:

James River Cardiology, an Aligned Cardio Partner, is hiring for several Office Managers to join our patient focused team. The candidate must exhibit management skills and the ability to make good judgments as well as quick decisions to oversee office operations of the location assigned. They should have appropriate medical knowledge, strong organizational skills, and be able to thrive in a fast-paced environment. The candidate will provide overall direction, supervision and management to the clinic staff.

Primary Job Responsibilities:

  • Planning, developing and organizing services and activities each day to support the patient care at clinic location.
  • Works in close cooperation with practice provider(s) to ensure appropriate patient care and work flow needs.
  • Communicate to patients and/or family members in a timely and thorough manner to address and/or resolve any issues.
  • Communicate pertinent patient information to physicians and administrative team including, but not limited to patient care concerns or issues, complaints, scheduling and testing appointment volumes.
  • Collaborate with Clinical Manager and Executive Director of Operations to ensure functionality of clinic space and/or staffing needs.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Oversees proper use and stocking of supplies including but not limited to, office supplies, medical supplies and vendor management.
  • First line of reporting and supervision of Medical Assistants, Patient Access Coordinators and clinical staff in their assigned duties with the oversight of the Executive Director of Operations.
  • Responsible for hiring new staff, disciplinary action of staff and/or terminations of staff with guidance from Executive Director of Operations, Clinical Manager and Human Resources.
  • Maintains staff job performance results by coaching, counseling, and disciplining employees, and planning, monitoring, and appraising staff.
  • Participates in recruiting, interviewing, selecting, orienting, and training employees.
  • Completes operational requirements by scheduling and assigning employees, consulting with other locations Office Managers and updating weekly schedules.
  • Maintains office services by organizing office operations and procedures, timesheet oversight, office correspondence, designing filing systems, tracking workflows and assigning and monitoring office functions.
  • Achieves financial objectives by following appropriate corporate protocol as it pertains to supplies, managing/monitoring overstock, scheduling expenditures and initiating corrective actions.
  • Requests and follows up on work orders for maintenance of equipment and grounds to provide optimal working conditions.
  • Performs other duties as assigned and as needed to ensure excellent clinical support and flow.

Education, Experience, and Licensing Requirements:

  • BLS Certification (Required)
  • LPN or RN (Required) / RN (Preferred)
  • 2-5 years previous medical office or clinic management experience, or equivalent role (Required)

Knowledge and Skills:

  • Proficiency in Microsoft Office Suite and Outlook
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Strong conflict resolution skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Supply management experience is a plus
