Practice Manager

We seek a dynamic, motivated leader with a passion for excellence and a commitment to driving operational success through remarkable patient experiences.

Position Summary

As the Practice Manager, you will report directly to the practice Leadership/Director/CEO and work in collaboration with the senior managers in the company. You will help develop and guide the efforts of clinic management to ensure appropriate support to all departments.

As a leader of the clinic, you will be expected to monitor/manage practice performance through KPIs, ensuring protocols are being followed by supporting all team members and providers. You will also be responsible to monitor/follow through with onboarding/training in the clinic.

As the Practice Manager, you will be responsible for assisting with billing and insurance related activities and to assist with identifying opportunities for improvement in order to align the clinic with achieving the overall vision. You will be responsible for motivating team members to create a remarkable patient experience.

Performance Objectives

  • Inspire team member engagement regarding the clinic’s core values, mission, and vision
  • Oversee the day-to-day operations of the clinic
  • Appointment scheduling and patient flow
  • Billing procedures (coordinating with 3rd party vendors)
  • Administrative duties
  • Occupational Health and Safety
  • HIPAA regulations and compliance requirements
  • Lead and support the Front Desk function (FD)
  • Team Leadership
  • Stay current with team member development through the use of the Performance management tools via Bamboo HR
  • Quarterly reviews
  • Personal, Professional, and Financial Goals
  • Own the PPF Process for select team members
  • Assist and mentor team in establishing smart goals
  • Regularly meet with team to assist with progress and offer guidance
  • Recognition of team members
  • Regularly celebrate the wins and successes of the team
  • Follow proper procedures regarding discipline/corrective action
  • Accurately and consistently updating/maintaining the Key Performance Indicator (KPIs)
  • Identify opportunities for improvement
  • Partner with leadership to strategize and implement change
  • Ensure the clinic’s team is consistently following the appropriate systems and processes.
  • Onboarding and Training
  • Ensure each employee is receiving and performing the proper training as assigned by management and or the department lead.
  • Insurance
  • Fee Slips
  • Medical Records
  • Coordinate with 3rd party billing companies to ensure deliverables are being met.
  • Daily Prior Authorizations
  • Posting Cash Charges
  • Auditing new patient charts
  • Credentialing, Licensing, and Team Certifications
  • Maintain thorough knowledge and records of appropriate credentialing
  • Ensure all certifications and Licenses are up to date and renewed appropriately
  • Ensure annual background checks are completed in a timely manner
  • CPR, BLS, TB tests, etc

PARTY TIME

  • Staff Birthdays / Celebrations / Special Occasions
  • Stay abreast of events and occasions
  • Plan events and budgets responsibly

Qualifications

  • Bachelor's degree in business administration, health care administration, or a related field or commensurate experience
  • 3 years of experience in a medical practice setting
  • Strong leadership and management skills
  • Excellent communication and interpersonal skills
  • Proficient in Google Suite / Microsoft Office Suite
  • EHR experience
  • Billing and Insurance experience
  • Positive and Energetic
  • Entrepreneurially oriented, driven to succeed and a commitment to achieve results and solve problems

Salary Range:

$65,000 - $75,000 plus monthly bonus
