POSITION: Patient Access Representative / Revenue Cycle for

SUMMARY DESCRIPTION

Under general supervision and according to established policies and procedures, the Patient Access Representative will be responsible for day-to-day administrative functions in support of efficient and effective patient care including patient registration, insurance verification, scanning, faxing, calculation, collection and reconciliation of copayments/co-insurance and scheduling of diagnostic and follow-up appointments. Individuals will practice exceptional customer service and answer incoming telephone calls. Communicates and coordinates information in a knowledgeable and courteous manner with staff, patients, and families. Maintains confidentiality with patients, staff, and guests. The Front Office Personnel is responsible for the courteous and prompt processing of patients at the waiting area. The Front Office Personnel is responsible for answering all incoming telephone calls and directing the calls to the appropriate personnel. The Front Office Personnel will be cross trained in other functions of the business office. The Front Office Personnel reports directly to the Administrator.

RESPONSIBILITIES

1. Admission of patients.

2. Verifies the accuracy and completeness of patient clinical, demographic and insurance information upon admission of the patient. Enters corrected patient information into the medical software system at the time of admission.

3. Communicates patient and/or surgeon delays to the Pre-Operative Area Nurse, and/or Nursing Supervisor

4. Keeps track of cancellation cases.

5. Informs the Nursing Supervisor of any cancelled and/or altered procedures.

6. Requests the patient or legal guardian read the Patient’s Bill of Rights and Responsibilities and Advance Directives and know the Policy on Grievances.

7. Protects patient confidentiality and dignity by keeping patient charts in an inconspicuous location at the front desk; and keeps discussion of a patient’s procedure(s) to a tone discernable only to the patient/legal guardian.

8. Maintains an orderly and secure system for storing patient charts at the front desk.

9. Records and reconciles daily all monies collected at the front desk.

10. Secures and reconciles the change drawer.

11. Maintains a presence at the front desk at all times with the exception of lunches and breaks.

12. Retrieves and forwards general mailbox messages to the appropriate personnel.

13. General management of the telephone system. Deactivating after hours answering service/night ring; activating after hours answering service/night ring; and, ensuring the after hours/emergency message is correct and activates.

14. Cross-trains in scheduling, medical records, chart preparation and collections.

15. Perform other clerical duties as directed by the RN Administrator.

Other Duties could include:
1. Greets all patients/clients/visitors in a pleasant and professional manner, determining the purpose of the visit and directing them to appropriate person or department(s).

2. Enters patient demographics and secures and scans copy of insurance card(s) and driver’s license. Aids and directs patients as needed with the completion of necessary forms.

3. Confirms insurance eligibility and referral requirements and secures signatures on required forms, including but not limited to Financial Policy, Consent for Treatment, HIPAA, etc.

4. Scans and indexes patient documents.

5. Organizing and maintaining a filing system of all patient charts, including generating charts and pulling charts.

6. Informs patients of clinic delays and maintains communication with the clinical area to facilitate appropriate clinic flow.

7. Explains financial requirements to the patients or responsible parties and collects copays, copayments and balances due as required.

8. Promptly and professionally answers telephone calls. Routes calls and messages appropriately, offering voice mail, paging, or redirection of calls as needed.

9. Facilitates patient flow and communicates delays with patients and clinical staff.

10. Conduct pre-visit chart preparation, precertification and fax duties as assigned.

11. Follows all clinic policies on safety and security; maintains restricted areas by safeguarding keyless entry codes and computer system passwords in strict confidentiality.

12. Appropriately and courteously screen solicitors for relevance to organization needs.

13. Responsible for keeping the reception and patient waiting areas clean and organized.

14. Monitors medical office supplies and inventory needs and oversees and maintains office equipment.

15. Assists with training activities as needed.

16. Scheduling of daily lab pick-up for specimens

17. Maintains accuracy and productivity levels as established by department standards.

18. Performs, organizes, and streamlines operational tasks to reduce the potential for errors.

19. Always maintains patient safety and confidentiality.

28. All other duties as assigned by Practice Administrator or department supervisor.

QUALIFICATIONS

1. High school graduate.

2. Comprehension of medical terminology, CPT-9 and ICD-10 coding and familiarity proficiency in insurance knowledge including verifications.

3. Minimum one (3-5) year receptionist experience in an ambulatory surgery facility, or acute-care hospital, or doctor's office.

4. Ability to operate office equipment including computers, fax machines, copiers, printers, telephones, ect.

5. Computer proficiency and prior experience with Electronic Medical Records preferred.

6. Must have experience using Windows 95, NT, 10 or 11.

7. Excellent communication skills.

8. Competency in oral and written skills. Ability to maintain effective organized systems and time management.

9. Ability to prioritize and complete tasks in a timely manner.

10. Ability to perform multiple tasks simultaneously and work in a fast-paced environment while providing exceptional customer service.

11. Must be able to work under pressure.

WORKING CONDITIONS

1. Adequate physical ability including bending and lifting up to 50 pounds and sufficient manual dexterity to perform the requisite healthcare services.

2. Subject to managing a high volume of calls.

3. Subject to varying situations

4. Must float between Arlington and Fort Worth Surgical Centers
