POSITION DESCRIPTION

The Program Specialist is responsible for providing overall administrative and some program support to ensure smooth operations at the Beacon Center. Responsibilities include but are not limited to managing data entry projects, tracking and organizing office and program supplies, coordinating equipment and office maintenance, providing general office and program support, assisting with the supervision of program interns and volunteers, and may need to support direct service programs as needed.

DUTIES AND RESPONSIBILITIES

  • Provide administrative and program support to overall Beacon.
  • Order, receive, organize, and store away all office and program supplies/equipment.
  • Develop systems to inventory and track all supplies and equipment.
  • Handle and manage data entry projects and filing systems that meet funder requirements.
  • Maintain general office areas: updating bulletin boards, organizing and maintaining participant files, copying and distributing documents to staff, tidying up general office work areas, troubleshooting office equipment and facilities issues, etc.
  • Support the coordination of office and program safety protocols.
  • Greet visitors and program participants and assist with the supervision of program interns and volunteers as needed.
  • Assist in coordinating special events for the Beacon or Agency.
  • Support direct service programs as needed.
  • Other duties and projects as assigned by the supervisor or agency management

QUALIFICATIONS/REQUIREMENTS

  • BA degree is preferred, or an AA plus 2 years experience providing administrative or program operations support.
  • Good written and verbal communication skills in interacting with people in a positive and courteous manner.
  • Good knowledge of Google Drive and Microsoft Office Applications, such as MS Word and Excel.
  • Good organization skills with a results-oriented focus and ability to meet strict deadlines.
  • A good level of personal organization, attention to detail, and follow-through, with a strong ability to keep cool in high-energy environments.
  • Ability to handle sensitive and confidential information with discretion and diplomacy.
  • Must be dependable and have the ability to multitask and prioritize work while also being flexible to support staff needs.
  • Possesses professional demeanor, integrity, good judgment, and great interpersonal skills.
  • Able to lift or move at least 25 lbs.
  • Commitment to taking regular COVID-19 health tests as required by the program health and safety plan and guidelines.
