Bridge to Enter Advanced Mathematics (BEAM) is Hiring a Part-Time Program Assistant, National Programs Near New York, NY

Bridge to Enter Advanced Mathematics (BEAM), a project of the Art of Problem Solving Initiative, Inc., is seeking a Program Assistant to support the administration of our Entry Points program for approximately 10-15 hours per week, up to 25 hours/week, starting July 8th. The Program Assistant role is a dynamic position that supports BEAM’s operations by providing assistance with program administration, general office support, and data entry. 

The Program Assistant role at BEAM is a great opportunity for someone looking to gain experience and insight into office operations, data management, and program administration. We are committed to professional development and provide feedback to individuals in this position to support their growth. 

Key Responsibilities

Support Program Administration 

  • Grade and review student applications and materials using provided rubric
  • Support Zoom meetings/logistics and upload recorded Zoom sessions
  • Support registration, including digitizing documents, following up with families to ensure paperwork completion, and logging data in Salesforce
  • Assist with external communications, including responding to emails requesting information about BEAM programs
  • Call and text families about BEAM programming using a supportive script

Support Program Events

  • Support external virtual events by making breakout rooms, answering the chat, and dropping links for participants. 
  • Co-host virtual Spanish speaker events with support provided by the Family Engagement Coordinator. 

Data Entry and Management 

  • Digitize student records and other program documentation
  • Perform data entry and record keeping in Salesforce 
  • Digital document management such as organizing Google Drive documents and links

General Office Support

  • Provide support by organizing and assembling packages to send to schools and/or other stakeholders

The Program Assistant's role is dynamic and designed to support multiple teams, so responsibilities will likely fluctuate and may include other duties as assigned. 

Qualifications

Above all, we're looking for people passionate about BEAM's work and impact. It is much more important to us to hire someone with the right approach than someone with a particular background. That said, we are looking for the following qualifications:

  • Bilingual in Spanish, with strong professional speaking and written communication in the language
  • Ability to interact comfortably and effectively with BEAM employees at all levels
  • Strong organizational and time management skills
  • Computer fluency, including a working understanding of Microsoft Office and Google Suite, scanning and/or copying documents, and digital organizational systems (ex: Gmail, Google Calendar, Asana, Slack)
  • Excellent follow-through and attention to detail
  • Ability to communicate clearly with a variety of stakeholders 
  • Openness, empathy, respect, and curiosity about people from a wide variety of backgrounds and excitement about engaging with them
  • Administrative experience and/or experience with BEAM’s programs are not required but are a plus
  • Remote, with a preference for availability to work in-person (NYC)

Compensation, Benefits, and Other Details

Compensation for this position starts at $18-$20 per hour for a 10-15-hour weekly schedule. We’re open to scheduling reliable, strong-performing Program Assistants for additional hours per week as needed and as their schedule permits (e.g., during a school break), up to a total of 25 hours per week. 

BEAM also offers the following benefits for part-time employees, such as: 

  • Paid time for sick and vacation time

HIRING PROCESS
