Carnegie Hall seeks a Coordinator, Visitor Services and Volunteers to support the Department which recruits, trains, and schedules 125 volunteers who serve in many public-facing roles at Carnegie Hall including tours, concert patron assistance, and the information desk, among other assignments. The coordinator is part of a highly collaborative Visitor Services and Volunteers team, which includes the Director, Manager, and two part-time staff who share duties in the Gift Shop. This role assists with both front of house and administrative tasks in a fast-paced environment. The coordinator will help manage daily group tour operations and give tours as needed. This role responds quickly and accurately to customer service queries, private group tour operator requests, and volunteer questions by email and phone. The coordinator is an integral member of a larger marketing team and works with many departments including the Gift Shop, Development, Artistic and House Operations, Ticketing, and the Weill Music Institute.Tasks & Responsibilities:• Assists in managing public and private group tours and coordinates with House Management, Box Office, and docents to facilitate daily tour operations.• Along with the Manager of Visitor Services and Volunteers, manages multiple volunteer program areas with the scheduling and communication needs on a daily to monthly basis.• Responds accurately and quickly to customer service queries, private group operators, and volunteer inquiries by email and phone.• Generates tour invoices, manages payments, and provides receipts to tour operators.• Helps with scheduling private group tours and monthly/weekly volunteer shifts.• Supports volunteer recruitment, interviews, training, scheduling, and appreciation events.• Research volunteer engagement and enrichment initiatives.• Maintains the Volunteer Lounge and other Visitor Services and Volunteers spaces.• Provides in-person tours as needed for private, public, and VIP groups.• Additional administrative and clerical tasks as needed. Skills & Qualifications• Engaging and outgoing personality who enjoys working with others in diverse group settings.• Comfortable problem solver with an adaptable customer service mindset.• Strong written and verbal communication skills, administrative skills, and phone etiquette.• A quick learner who is self-motivated to complete tasks promptly.• Excellent organizational and time management skills, with a strong eye for detail.• Enjoys a fast-paced environment while working independently and collaboratively both within and across departments.• Robust knowledge using Microsoft Office Suite required, particularly Excel and Word. SharePoint and Tessitura experience a plus.• Occasional holidays, Saturday daytime and early evening work are necessary based on program needs.• Ideally, the candidate will have 1-2 years of experience in a professional environment.• Individuals with a background in music, theater, art, or museum/cultural organizations are encouraged to apply.
