Summary:
The Order Management Specialist is responsible for receiving, processing, tracking, and reporting customer quote requests and orders in alignment with MHPSA customer service standards. This entry-level role requires handling multiple quotes and orders simultaneously, prioritizing tasks, and providing guidance and routine support for products and programs. The role also involves collaborating with internal teams to ensure accurate fulfillment of material demands.
Key Responsibilities:
- Receive and process customer inquiries, ensuring clear communication with all relevant teams.
- Prepare, review, and manage quotes, proposals, and customer orders.
- Track and report the status of outstanding inquiries and orders.
- Schedule and release orders for shipment according to policies and customer requirements.
- Prepare invoices and billing documents as per order terms.
- Resolve routine customer issues regarding warranties, deficiencies, or purchase orders.
- Provide after-hours support during outages or emergencies as needed.
- Collaborate with LTSA and Sales teams to maintain a centralized tracking system for historical, current, and planned orders.
- Assist in process improvement initiatives and document process procedures.
- Support coordination between internal departments to meet customer needs.
- Maintain and update Customer Master records accurately.
- Ensure systems of record are fully utilized and accurate.
- Maintain confidentiality and comply with all safety, regulatory, and company policies.
- Minimal overnight travel (<10%).
Qualifications:
- Bachelor’s degree in a technical or business-related field, or equivalent work experience.
- Minimum 3 years of directly related experience, or equivalent combination of education and experience.
- Basic knowledge of power plant operations and manufacturing techniques.
- Strong written and verbal communication skills, with the ability to read and interpret technical documents.
- Ability to write reports, business correspondence, and procedural documentation.
