About Zayed Law

Zayed Law is a prestigious personal injury law office with roots in the Chicago-Land area. Adam Zayed founded Zayed Law Offices in 2009 with the intention of re-writing the standard for personal injury representation. Adam has worked to represent his clients with conviction in court and compassion in the office. Zayed Law Offices has the goal of growing nation-wide and becoming a family trusted name in personal injury. Your role is an important part of realizing this dream and representing clients in a time when they are hurting and need support.

Position Overview

The Case Administrator is the documentation and process backbone of pre-litigation. This role owns the technical accuracy of every assigned case: hard file creation, Neos file integrity, claim setup, insurance and subrogation coordination, and the records work that keeps Client Advocate Managers free to focus on client relationships.

The work rewards precision, patience, and a personal commitment to detail-heavy tasks done well over a long stretch of time. Stability and mastery matter more here than variety. Cases progress because the file is right, and we treat the people who keep that standard as the experts they are.

Responsibilities

  • Build and maintain hard files and Neos files for every assigned case
  • Complete claim setup with accuracy, including insurance and subrogation coordination
  • Coordinate with adjusters, medical facilities, and third-party providers on documentation requests
  • Procure liens with medical providers as needed
  • Prepare legal documents and correspondence with associated cost documentation
  • Maintain monthly Neos reporting on treatment status for Client Advocate review
  • Scan, file, and organize all client records to ensure ongoing accuracy and accessibility
  • Provide administrative backup on phones, mail, supplies, and conference room support as needed
  • Flag inconsistencies, missing records, or compliance issues to the appropriate party
  • Other duties as assigned

Required Skills and Abilities

  • Strong attention to detail and a personal commitment to error-free work
  • Comfort with repetitive, structured tasks completed to a consistently high standard
  • Methodical approach to managing multiple active files without losing track of any of them
  • Clear written communication for documentation, file notes, and internal handoffs
  • Patience and steadiness in a fast-moving office environment
  • Proficiency with case management software, document scanning systems, and standard office tools
  • Willingness to ask clarifying questions before acting when something is unclear
