Sr. Program Director, Youth & Family and Teens

POSITION SUMMARY 
The Senior Program Director in any youth development departments is responsible for the development and operation of multiple YMCA programs for their assigned center(s)/department(s) including, but not limited to: member support and engagement, program growth and retention, fiscal management, volunteer and staff development, program marketing and communications. Duties include the recruitment, training and supervision of staff, development of programs and activities, coordination of center and department events, program safety & risk management, community involvement, and program marketing. The Senior Program Director will be responsible for involvement in the Community Support Campaign and will participate as leader within the Center Management team. 

ESSENTIAL FUNCTIONS

PROGRAM OPERATIONS/MEMBER ENGAGEMENT

  • Ensure a welcoming environment in assigned YMCA Programs, including but not limited to Youth & Government, Model UN, Get Summer, Resident Camp, and Teen Center programs.
  • Develop, implement and achieve enrollment goals identified in Center Annual Operating Plan.
  • Oversee and conduct ongoing program member evaluations and surveys to ensure that high levels of quality in programs are maintained at all times; ensure outcomes align with the needs of the community and the Center strategic plan.
  • Set an example for all staff by greeting members by name and taking the initiative to talk to members.
  • Ensure that all facilities, program areas and equipment are clean and in proper working order.
  • Communicate program information, registration information, schedules, etc., effectively and consistently with Center management and membership staff. Update program brochures and flyers to ensure strong communication throughout the Center.
  • Ensure all staff members are familiar with all programs offered at the YMCA so staff are able to inform members of YMCA programs that will meet members’ changing needs and interests.
  • Ensure program activities are well-rounded calendar and curriculum that is asset based and achieves YMCA goals with teens, children, and families.
  • Ensure that all assigned youth development programs are nurturing, child-centered, asset-based, and include volunteer leadership opportunities and involvement of families, when appropriate.
  • Visit program sites regularly and complete site visits that are documented and shared with staff.

STAFF ENGAGEMENT & DEVELOPMENT

  • Recruit and hire staff using screening tools and panel interviews to gain the best possible fit with each opening.
  • Provide direct supervision to department staff, assuring that all staff are qualified, certified, and are meeting minimum performance standards for their position.
  • Provide direct supervision to department leads and/or assigned Program Directors.
  • Provide training for staff and volunteers on an ongoing basis through staff meetings, special courses and workshops.
  • Provide leadership to Program Directors with regards to managing programs and facilities in order to meet operating plans.
  • Hold regular department staff meetings. Document meeting minutes and training records accordingly.
  • Maintain current records for all staff that require certifications and keep copies on file. Ensure that all job descriptions and performance standards are accurate, current and on file for all employees.
  • Maintain a high level of staff professionalism by enforcing staff personnel policies, including the Association dress code.
  • Maintain commitment to safety through regularly scheduled and documented on-site safety inspections. Meet Association standards for safety and risk management.

BUDGET & FISCAL MANAGEMENT

  • Develop annual operating budget for child care, youth/teen and community programs. Manage department budgets to achieve monthly, quarterly and annual goals. Work with Program Directors and assist them in the development of their department operating budget.
  • Maintain systems for variance analysis, revenue and expense monitoring and control.
  • Acquire and manage grants/3rd party contracts in an accurate and timely manner. Prepare and submit reports and documentation as required.
  • Prepare statistical and financial reports on an ongoing basis for child care programs.
  • Oversee department spending and obtain authorizations accordingly.
  • Support year-round fundraising programs that include the Community Support Campaign, Special Events and President’s Club
  • Responsible for recruitment and retention of Community Support Campaign leadership including team captains, division manager and/or team members as assigned.

COMMUNITY ENGAGEMENT

  • Develop annual marketing plans including mailings, advertisement and community outreach.
  • Serve as a staff officer to assigned committees that reports to the Board of Mangers; Ensure committee has a commission statement and chart of work that is aligned with the Center strategic plan.
  • Build a strong relationship with school and community by evaluating the scope and quality of the child care programs offered, community needs, and other providers.
  • Create opportunities (events, initiatives, activities) for members to develop small communities within the YMCA.
  • Identify program volunteer positions and assist with the identification, recruitment and tracking of program volunteers
  • Ensure all staff members are familiar with all programs offered at the YMCA so staff are able to inform members of YMCA programs that will meet members’ changing needs and interests.
  • Communicate program information, registration information, schedules, etc., effectively and consistently with Center management and membership staff. Update program brochures and marketing materials to ensure strong communication throughout the Center and community.

ADDITIONAL RESPONSIBILITIES

  • Attend staff meetings and trainings as required.
  • Uphold YMCA policies for safety, supervision, mandated reporting and risk management.
  • Demonstrate the Six Pillars of Character (Trustworthiness, Citizenship, Respect, Responsibility, Caring and Fairness) as well as the YMCA Core Values of Caring, Respect, Honesty and Responsibility, in all dealings with members, guests, volunteers and fellow staff.

  • All other duties as assigned by your supervisor.

Qualifications:

MINIMUM QUALIFICATIONS

  • AGE:
    • 21 years or older
  • EDUCATION:
    • High School Graduate or GED. Bachelor’s degree, preferred.
  • RELATED EXPERIENCE:
    • Experience working with children, teens and staff in a youth program setting.
    • 1-2 years’ supervisory experience.
  • SPECIALIZED SKILLS:
    • Strong character values, communication skills, emotional maturity
  • LICENSES & CERTIFICATIONS:
    • Current YMCA Approved First Aid, Adult, Infant and Child CPR Certifications.
    • Basic Water Rescue Certification may be required for resident camp or day camp responsibilities.
    • Enrolled in or completed YMCA Multi-Team Leader Certification
  • IMMUNIZATION AND PHYSICAL:
    • Current TB, influenza (limited exceptions), pertussis, and measles vaccination and physical exam may be required if working on school sites and/or in licensed childcare sites. Otherwise, it is not required.
