Everyone has a great time at YMCA birthday parties! Based at the Greendale Family branch, the Birthday Party Coordinator is responsible for managing the full process of YMCA birthday parties, ensuring exceptional customer experience, smooth operations, and adherence to YMCA quality standards.

Everyone has a great time at YMCA birthday parties! Based at the Greendale Family branch, the Birthday Party Coordinator is responsible for managing the full process of YMCA birthday parties, ensuring exceptional customer experience, smooth operations, and adherence to YMCA quality standards.
Essential Functions
- Oversee all birthday party bookings and assist with facility rental requests.
- Manage client inquiries and confirmations for online and in-person bookings via Daxko crm system.
- Maintain and update birthday tracking sheets.
- Send pre-event check-in communications to clients the week prior to scheduled parties.
- Coordinate food deliveries and ensure proper transport to the party room.
- Monitor and manage outstanding balances weekly.
- Lead the birthday party staff team in room setup and activity coordination including inflatables, music, and furniture, and post-party cleanup.
- Provide every party guest with a welcoming, friendly, and memorable customer experience.
- Welcome guests and greet families upon arrival, maintaining communication with parents throughout the event.
- Ensure that all party spaces are used appropriately, kept clean, and properly maintained before and after use.
- Foster a fun, safe, and engaging party atmosphere.
- Work according to the shift schedule, including weekends (minimum one Saturday or Sunday per week).
- Perform additional duties as assigned by the supervisor.
- Must be at least 18 years of age.
- Experience in Events Management preferred by not required.
- Current certifications in CPR/AED/First Aid (or willingness to obtain).
- Ability to plan, organize, and manage a schedule.
- Ability to build strong, authentic relationships with diverse families and community members.
- Physically able to help with decorating or carrying objects up to 30lbs.
- Fulfillment of state-specific hiring standards and completion of YMCA program-specific training.
- Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
