What are the responsibilities and job description for the Bus Solutions Coordinator position at Wyoming Rents?
JOB SUMMARY
Provide support as needed for the Wyoming Machinery Company Business Solutions Department that includes the areas of Contracts, Oil Lab, Warranty, Technology, Technical and SITECH.
ESSENTIAL FUNCTIONS
• Perform all Service Writer work order functions for SITECH to include but not limited to opening, maintenance, charge parts and labor, review and upload service reports, obtain appropriate customer payment information, close and invoice work orders
• Help maintain SITECH customer information and communicate any changes to the credit department
• Create customer parts counter orders in DBS for SITECH
• Update SITECH manager and SITECH Field Techs on any back ordered parts and anticipated fulfillment dates.
• Process credit card billing transactions as needed for SITECH parts counter and work order invoices
• Perform Inventory Control for SITECH including creating P.O.s for purchases from Trimble, creation of Parts orders in DBS. Receive and locate parts into DBS as they are delivered. Perform quarterly and annual inventory cycle counts and update finance on inventory value changes and assist with actions needed to adjust inventory value
• Work with Trimble on parts supersessions for SITECH and update DBS as needed
• Provide inventory counts and values on SITECH inventory to Trimble as needed/requested
• Create and invoice SITECH for TPAAS orders and monitor reimbursement from Trimble
• Calculate and maintain dealer and consumer pricing from annual and periodic Trimble price changes.
• Assist the technology group with maintaining technology subscribed machines in the Caterpillar Digital Subscription Portal(DSP)
• Perform invoicing to customers for Digital Subscriptions for the technology department
• Review Minestar monthly and quarterly charges from Caterpillar. Validate finance journal entries are being made to split the charges and work with finance to correct any issues
• Assist The Technical Communicator Supervisor and Oil Lab Manger with tracking service letters
• Creates monthly PIP/PSP service letter report and distributes to the Oil Lab Manager, Technical Communicator Supervisor and PSSRs/ISRs.
• Create and manage all P.O.’s for the business solutions group
• Manage all pool car needs for the Business Solutions Department
ADDITIONAL FUNCTIONS
• Any projects that may come up with Business Solutions.
• Know the proper format for company correspondence and assist all clients to achieve this level of quality output.
• Obtain working knowledge of Caterpillar models and terms.
QUALIFICATIONS/KNOWLEDGE/SKILL/ABILITY
• Minimum of High School graduate or equivalent.
• Ability to listen and follow instructions.
• Must be able to type and have good knowledge of PC's.
• Familiarity with all Microsoft Products relating to spreadsheets, word processing, databases, and queries.
• Familiarity with reporting, presentation, and graphic design software.
• Ability to complete on the job training and attend off site training.
PREFERRED
• Current knowledge of Caterpillar software - Maintenance Control System (MCS), Dealer Business Systems (DBS), Service Information Systems (SIS), Service Information Management System (SIMS), Equipment Manager, PartStore, and VisionLink.
PHYSICAL/ENVIRONMENTAL REQUIREMENTS
• Operate basic office equipment such as; computer terminal, copy machines, ten key calculator and the telephone.
• Office environment requiring professional dress and appearance.
• Sit for 6-8 hours.
• Walk/stand for 0-2 hour.
• Climb stairs multiple times per day
• Lift/carry up to 50 pounds
• Use hands for repetitive fine manipulation, grasping, pushing and pulling.
