Estimating Administrator plays a critical role in supporting the efficiency and accuracy of the estimating function. This position is integral to managing documentation, coordinating bid communications, and maintaining organized project data to ensure successful bid preparation and execution. It offers a professional opportunity for individuals who are highly organized, detail-oriented, and committed to contributing to a collaborative preconstruction team environment.
Responsibilities:
- Drawing File Management: Sort and break out drawing files.
- Specification File Management: Review for needed bid documents, sort, and break out files.
- Incoming Estimating Email Management: Process invites to bid and inform the Coordination Supervisor, VP of Estimating, and BD Team of downloads. Process and file quotes, RFIs, and addendum documents as they come in.
- Project Information Maintenance: Assist the Coordination Supervisor in maintaining Building Connected project information with new document releases, due date changes, and miscellaneous messages.
- Bid Package Preparation: Prepare bid packages for private and public bids.
- Ordering COIs and Bonds: Order Certificates of Insurance (COIs) and bonds as needed.
- RFI Processing: Process RFIs from the estimating team to the General Contractor (GC).
- Loss Log Maintenance: Record project losses on the LOSS Log.
- Department Supply Ordering: Assist with ordering supplies for the department.
- Drawing Printing: Print drawings on an as-needed basis.
- Special Projects: Provide assistance to the Coordination Supervisor with special projects as needed.
Qualifications:
- High school diploma or equivalent; additional education or training in a related field is a plus.
- Strong organizational and time management skills.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Attention to detail and accuracy in handling documents and data.
