Work with Willow has partnered with a client that is seeking a reliable, highly organized Client Services & Administrative Coordinator to support administrative and client-facing operations across two growing mental health and coaching organizations.
This role combines client communication, scheduling, and intake coordination with behind-the-scenes administrative support. Ideal for someone who is detail-oriented, proactive, and comfortable speaking with clients in a professional, supportive manner.
Key Responsibilities

Serve as first point of contact for prospective clients (phone/email)

Explain services, pricing, and onboarding process clearly

Schedule appointments and follow up with inquiries

Send and manage onboarding documentation

Maintain organized client tracking systems (Google Sheets/Excel)

Support administrative workflows, records processing, and EHR documentation

Assist with internal operations and special projects
Qualifications

6 months administrative experience in healthcare, mental health, or wellness

Experience with EHR/EMR systems

Familiarity with HIPAA and handling confidential information

Strong communication, organization, and attention to detail

Proficiency with Google Workspace (Docs, Sheets, Drive)

Comfortable working independently in a remote environment
Schedule & Location

Part-time (20–28 hours per week to start)

Monday–Thursday, standard business hours

Compensation
