Role Overview We are looking for a detail-oriented, bilingual Wholesale (B2B) Operations & Admin Coordinator to be the operational backbone of our wholesale division. You will work closely with our B2B partners, internal teams, and Korean vendors to ensure orders flow smoothly, records stay accurate, and relationships stay strong — keeping the day-to-day of our B2B business running without a hitch.
Key Responsibilities
- Order Processing & Invoicing: Manage end-to-end wholesale order entry, confirmation, invoicing, and payment tracking. Ensure accuracy across all B2B transactions and resolve discrepancies in a timely manner.
- CRM & Data Entry: Maintain up-to-date records of partners, contacts, order history, and communications in our CRM system. Ensure data integrity and generate clean reports for internal use.
- Vendor & Partner Communication: Serve as a key point of contact between U.S. B2B partners and Korean vendors/manufacturers. Handle routine inquiries, product spec translations, and follow-ups in both Korean and English.
- Logistics Coordination: Coordinate with logistics and fulfillment teams to track shipments, manage delivery timelines, and proactively communicate updates to wholesale partners.
- Reporting & Analytics: Compile and maintain regular reports on order volume, re-order rates, partner activity, and inventory needs to support the B2B team's planning and decisions.
- Website & Inventory Update: Maintain accurate and up-to-date product listings on Shopify, including product descriptions, pricing, and availability. Monitor stock levels and coordinate with internal teams to reflect real-time inventory changes, ensuring a seamless experience for B2B partners browsing and ordering online.
Qualifications (The Must-Haves)
- Language: Must be fluent in both Korean and English (reading and speaking). You will be translating product specs, corresponding with Korean vendors, and communicating with Korean and English-speaking business partners daily.
- Experience: 1 years in an administrative, operations, or coordination role — ideally in wholesale, food & beverage, or a related industry.
- Organization: Exceptional attention to detail and ability to manage multiple orders and deadlines simultaneously without dropping the ball.
- Communication: Professional written and verbal communication skills in both languages; comfortable liaising across cultures and time zones.
- Tech Skills: Proficiency in Microsoft Office or Google Workspace; comfortable learning new systems quickly.
- Legal: Must be authorized to work in the U.S.
Preferred Skills
- Experience with CRM tools and/or Shopify.
- Familiarity with Korean food products, brands, or the K-Food market in the U.S.
- Prior experience in a wholesale, import/export, or logistics environment.
