About the Role
We're looking for a Finance Coordinator to join our office team and help keep the financial side of our landscaping operation running smoothly. This role is a great fit for someone who's detail-oriented, comfortable juggling multiple priorities, and enjoys being the person who keeps things organized behind the scenes. You'll be the connective tissue between our field crews, office staff, and accounting team — making sure work gets billed, payments get collected, purchases get tracked, and the numbers flow where they need to go.
This is a hybrid role: part finance, part general office support. If you like variety in your day and take pride in accurate, well-organized records, we want to hear from you.
What You'll Do
Invoicing & Accounts Receivable
- Prepare and send customer invoices for completed work in a timely, accurate manner
- Track outstanding invoices and follow up on collections
- Monitor accounts receivable aging and flag overdue accounts
- Work with crew leads and project managers to confirm work is complete and ready to bill
- Resolve billing discrepancies and answer customer invoicing questions
Purchasing & Expense Allocation
- Work with purchaser on allocating the expense to jobs in software properly
- Code and allocate purchase expenses to the correct jobs, cost centers, or categories
- Track receipts and purchase orders to keep spending organized
- Help maintain vendor records and reconcile vendor statements
- Manage crews spending and receipts
Financial Coordination
- Serve as a liaison between the office team and our outside accounting team/bookkeeper
- Ensure financial transactions (invoices, receipts, expenses) are accurately recorded and routed on schedule
- Help maintain organized, audit-ready financial records
- Support month-end close processes as needed
HR & General Office Support
- Assist with HR-related tasks such as new hire paperwork, timekeeping support, and maintaining personnel files
- Help coordinate onboarding logistics for new crew members
- Provide general administrative support to keep the office running smoothly
- Pitch in on office housekeeping tasks and other duties as assigned — we're a team, and things come up
What We're Looking For
- 1-3 years of experience in bookkeeping, accounts receivable, office administration, or a similar role (landscaping, construction, or field-service industry experience a plus)
- Comfortable with basic accounting/bookkeeping concepts (we'll train on our specific systems)
- Strong organizational skills and attention to detail — you catch the small stuff before it becomes a big problem
- Good communicator who can work well with both office staff and field crews
- Proficient with Microsoft Office suite, and accounting familiarity is a plus
- Ability to juggle multiple tasks and shifting priorities without dropping the ball
- A team-player attitude — willing to help wherever needed, even outside the "job description"

Pay: $42,000.00 - $55,000.00 per year
