Position Summary
As the Front Desk Receptionist at Florida Concierge Med, you will be the first point of contact for our members and visitors. You’ll set a welcoming tone, manage check-in/check-out processes, answer phones and inquiries, and support a high-quality concierge medical experience. You’ll work in a fast-paced, service-oriented environment and collaborate closely with medical and administrative staff to ensure seamless operations.
Key Responsibilities
- Greet members and guests warmly in person and by phone, confirm appointments, check them in, and direct them to the appropriate staff.
- Answer, route, and manage incoming calls and email inquiries, providing clear information or transferring to the right person.
- Verify member information, update records in the clinic’s database or electronic health record (EHR), and maintain confidentiality of patient data.
- Schedule and confirm appointments, manage cancellations, rescheduling and wait-lists to optimize provider time and clinic flow.
- Process member payments and co-payments at check-out, issue receipts, and collaborate with billing or membership services as needed.
- Maintain a clean, organized, and professional front-desk environment and waiting room to reflect the concierge level of service.
- Assist with general administrative tasks: scanning documents, filing, managing supplies, assembling member packets, and preparing check-in materials.
- Collaborate with clinical and membership teams to communicate member or patient needs, relay messages, and escalate issues when necessary.
- Uphold Florida Concierge Med’s values and brand by providing exceptional service, anticipating member needs, and ensuring a premium experience.
Required Qualifications
- High School diploma or GED required; Associate or Bachelor’s degree preferred.
- Previous experience (1-2 years) in a medical office, clinic reception, concierge setting, or customer-service role is strongly preferred.
- Excellent customer service, interpersonal skills, and professionalism with the ability to interact with diverse members and visitors.
- Proficiency with common computer applications (Microsoft Office) and ability to learn clinic software / EHR systems.
- Strong verbal and written communication skills; ability to manage multiple tasks, stay organized, and work independently.
- Knowledge of medical office processes, appointment scheduling, or basic billing is a plus.
- Must maintain confidentiality, follow HIPAA and other applicable regulations.
- Bilingual (English/Spanish) is a plus but not required.
Working Conditions & Schedule
- Full-time hours, Monday through Friday, standard business hours (some flexibility may be required based on clinic events or extended hours).
- Work environment is a medical concierge clinic: professional, member-focused, fast-moving, and team-oriented.
