Job Summary
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, proficiency in office management tools, and the ability to multitask in a fast-paced environment. Experience with office software such as Microsoft Office, QuickBooks, and Google Workspace is highly desirable. Bilingual abilities are a plus to assist diverse clientele. The Front Desk Receptionist will play a vital role in maintaining smooth office operations and supporting overall organizational effectiveness.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendar entries using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and maintain accurate records of correspondence and client information
- Handle incoming and outgoing mail, packages, and deliveries
- Assist with basic bookkeeping tasks using QuickBooks or similar software
- Support office management activities including supply inventory and organization of office space
- Provide administrative support such as proofreading documents, managing emails, and preparing reports
- Maintain professionalism with excellent phone etiquette and customer support skills
- Collaborate with team members to ensure efficient office operations and excellent customer service
Requirements
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with multi-line phone systems and excellent phone etiquette
- Ability to handle multiple tasks efficiently with strong organizational skills and time management abilities
- Bilingual skills are preferred to serve diverse client needs effectively
- Previous experience as a medical receptionist, dental receptionist, or personal assistant is advantageous
- Familiarity with QuickBooks or bookkeeping experience is a plus
- Excellent proofreading skills and attention to detail
- Strong customer service orientation with professional communication skills
- Ability to work independently while supporting team objectives
