Position Summary: Witherite Law Group is seeking a highly organized and proactive Executive Assistant to provide high-level administrative and operational support to the Chief Information Officer and President. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be a trusted partner, ensuring seamless day-to-day operations and contributing to the efficiency of our leadership team across Operations and IT functions.
Key Responsibilities:
- Manage complex calendars, schedule meetings, and coordinate travel arrangements for CIO and President
- Prepare and edit correspondence, reports, presentations, and operational/IT documentation
- Handle confidential information with discretion and professionalism
- Assist in planning and executing operations and IT-related projects, events, and meetings
- Track and follow up on action items, deadlines, and deliverables for strategic initiatives
- Liaise with internal departments and external stakeholders on behalf of the executives
- Support technology and operational project management efforts, including vendor coordination
- Maintain organized filing systems and ensure timely document management
- Provide general administrative support including expense reporting and invoice processing
- Assist with data analysis, reporting, and IT resource coordination as needed
Qualifications:
- Bachelor’s degree preferred
- Minimum of 3 years of experience supporting senior executives.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with project management tools and IT systems is a plus.
- Excellent written and verbal communication skills.
- Proven ability to manage multiple tasks and priorities with a high level of accuracy.
- Discretion and professionalism in handling sensitive information.
- Strong organizational and time-management skills.
- Experience in operations, IT, or technology-driven environments is highly desirable.
Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Stationary Position – Must be able to remain in a stationary position up to 50% of the time.
- Move or Traverse – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
- Dexterity – constantly operates a computer and other office machinery such as a copy machine/printer.
- Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
- Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
- Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
