Role
The Appointment Confirmation Specialist is responsible for ensuring that scheduled customer appointments convert into completed meetings. This role focuses on outbound calls to confirm, qualify, and reinforce upcoming appointments, reduce no-shows, and ensure customers are fully prepared and committed.
Key Responsibilities
Call customers ahead of scheduled appointments to confirm time, location, and availability.
Re-qualify leads (project type, urgency, decision-makers, budget awareness).
Ensure all decision-makers are present at the meeting.
Reinforce value of the appointment and reduce cancellations or no-shows.
Reschedule or adjust appointments when needed to maximize show rates.
Accurately update CRM with call outcomes, notes, and status changes.
Flag weak or unqualified appointments to the sales team in advance.
Maintain high daily call volume and follow-up discipline.

Qualifications
1–3 years in call center, customer service, or inside sales roles.
Strong phone presence with clear, confident communication.

Experience with CRM systems preferred.
Reporting
Reports to the Call Center Manager and works closely with the Sales team.
