The Role:
Winston Staffing is conducting a search on behalf of a prominent, mission-driven non-profit organization in NYC for a polished, highly-skilled Executive Assistant to partner directly with their Chief Financial Officer (CFO) & also serve as the organization travel coordinator.
This is a critical, high-touch role where your organizational expertise and unwavering commitment to flawless logistics will be the foundation of the CFO’s success. We are looking for a true administrative partner who can provide impeccable "white glove" service and operate with foresight and discretion.
The Impact You Will Make (Performance Areas):
The success of this role is defined by your ability to manage complex, shifting priorities with precision and professionalism.
1. Flawless Travel & VIP Logistics Management (A Core Responsibility)
- Own the Concierge Travel Experience: Serve as the central point of contact for extensive domestic and international travel logistics for the CFO, staff, and VIP guests.
- Coordinate Complete Itineraries: Manage all accommodations—air, ground transportation, and hotels—ensuring every detail is confirmed, accurate, and aligned with preferences.
- Strategic Partnering: Act as the key liaison with our Travel Partner, executing all bookings and swiftly managing last-minute changes to complex itineraries with seamless execution.
2. Expert Expense & Financial Administration
- System Ownership (Concur): Manage the end-to-end expense process, specializing in high-volume expense reporting, corporate credit card reconciliation, and staff expense submissions via Concur.
- Auditing and Compliance: Organize, audit, and systematically file expense invoices and reports, maintaining meticulous records for financial compliance.
3. High-Level Executive Partnership
- Executive Support: Provide comprehensive administrative and strategic support, managing the CFO's complex calendar, coordinating meetings, and preparing confidential materials.
- Communication Excellence: Communicate professionally and articulately with all levels of internal staff, external partners, and senior stakeholders, representing the CFO's office with exemplary written and verbal skills.
- Operational Excellence: Utilize advanced organizational and computer software skills (MS Office Suite, etc.) to streamline administrative processes and enhance office efficiency.
What You Bring to the Table:
- Experience: Extensive, proven experience (5 years preferred) supporting a senior management level.
- Expertise: Demonstrated success coordinating complex, high-volume, multi-leg travel (domestic and international) for key personnel.
- Software Proficiency: Advanced user-level proficiency with Concur is highly preferred, along with excellent skills in Microsoft Office Suite.
- Discretion: A high degree of professional integrity and ability to handle confidential matters.
- Industry Bonus: Prior experience within the Non-Profit sector is a significant advantage.
