Responsibilities
- Greet visitors warmly and professionally, ensuring a positive first impression.
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently.
- Handle appointment scheduling, calendar management, and coordinate meetings using tools like Google Workspace and Microsoft Office.
- Maintain accurate records through data entry, filing, proofreading, and document management.
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software.
- Assist with customer support by addressing inquiries promptly and professionally via phone or email.
- Perform clerical duties including typing correspondence, proofreading documents, and managing office files with excellent organizational skills.
Experience
- Previous office experience or administrative support roles preferred.
- Proven customer service experience with strong phone etiquette skills.
- Familiarity with office management software such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Experience handling multi-line phone systems and managing calendars effectively.
- Bilingual abilities are a plus to assist diverse client needs.
- Demonstrated organizational skills with attention to detail in data entry, filing, and proofreading tasks.
