Responsibilities
- Greet visitors, clients, and staff warmly while managing check-in and check-out procedures with professionalism.
- Answer multiple phone lines using multi-line phone systems, directing calls efficiently and courteously.
- Handle incoming inquiries via phone or in person, providing accurate information or routing to appropriate departments.
- Maintain organized files, data entry records, and manage documentation such as appointment schedules and correspondence.
- Support office management by coordinating calendar appointments, managing emails, and assisting with clerical tasks like proofreading and filing.
- Utilize computer skills across Microsoft Office Suite, Google Workspace, and other office software to prepare reports and correspondence.
- Perform light bookkeeping tasks using QuickBooks or similar accounting tools when necessary.
- Ensure office supplies are stocked and maintained; manage incoming deliveries and outgoing mail.
- Uphold excellent phone etiquette, demonstrate strong organizational skills, and exhibit professional personal assistant qualities during all interactions.
Qualifications
- Proven office experience with strong clerical skills including data entry, filing, proofreading, and document management.
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and familiarity with office management software.
