Windy City Event Rentals is seeking a highly motivated, organized, creative, and customer-focused professional to join our growing team as a Digital Marketing Specialist & Administrative Assistant.
This is a part time multifaceted position that combines digital marketing, content creation, customer service, office administration, and event coordination. As one of the faces of our company, you will play a key role in strengthening our brand, supporting daily operations, and ensuring every client receives an exceptional experience from their first inquiry through the completion of their event.

Primary Responsibilities Digital Marketing & Brand Management
- Manage and maintain all company social media platforms, including Facebook, Instagram, TikTok, Pinterest, LinkedIn, Google Business Profile, and other emerging platforms.
- Develop and maintain monthly content calendars aligned with company promotions, holidays, and upcoming events.
- Create engaging content including photos, videos, Reels, stories, graphics, blogs, and email campaigns.
- Capture professional photographs and videos of rental inventory, warehouse operations, completed event setups, customer testimonials, and behind-the-scenes content.
- Monitor social media engagement by responding to comments, messages, reviews, and customer inquiries in a timely and professional manner.
- Research current social media trends, competitor marketing strategies, and emerging technologies to improve brand visibility.
- Track marketing performance using analytics and prepare monthly performance reports with recommendations for improvement.
- Maintain consistent branding across all digital and printed marketing materials.
- Assist in planning seasonal promotions, contests, giveaways, advertising campaigns, and special events.
Administrative Support
- Answer incoming phone calls and emails with professionalism and exceptional customer service.
- Schedule appointments, consultations, site visits, and deliveries.
- Maintain company calendars, event schedules, and project deadlines.
- Prepare rental agreements, invoices, estimates, proposals, and customer correspondence.
- Organize electronic and physical filing systems while maintaining accurate customer records.
- Assist ownership with administrative projects, reporting, and daily office operations.
- Order office supplies and maintain an organized office environment.
Event Coordination Support
- Maintain an organized calendar of upcoming weddings, corporate events, private parties, festivals, and productions.
- Assist with coordinating event logistics, delivery schedules, pickup schedules, and installation timelines.
- Communicate with customers, venues, vendors, and internal team members to ensure every event runs smoothly.
- Attend events when needed to capture marketing content and assist with customer relations.
- Support warehouse and operations staff with promotional initiatives and special projects as assigned.
Customer Experience
- Deliver exceptional customer service through every interaction.
- Respond promptly and professionally to customer questions and concerns.
- Resolve issues calmly, efficiently, and with a solution-oriented mindset.
- Represent Windy City Event Rentals with professionalism, integrity, and a positive attitude at all times.
Qualifications
Preferred candidates will possess:
- Experience in digital marketing, social media management, marketing, communications, office administration, or a related field.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Experience using Canva, Adobe Creative Suite, Meta Business Suite, Google Workspace, Microsoft Office, and AI tools such as ChatGPT (preferred).
- Photography and videography experience is a plus.
- Ability to multitask and prioritize competing deadlines.
- Strong attention to detail.
- A valid driver's license and reliable transportation.
- Flexibility to work occasional evenings and weekends during peak event seasons.
