The Role
The Construction Administrator plays a vital role in the successful delivery of Willmeng construction projects, supporting the full project lifecycle from startup through closeout. Working closely with Project Managers, Superintendents, and the broader operations team, the CA serves as a central hub for project documentation and communication — ensuring all team members have accurate, current information at every stage of construction. This role is essential to keeping projects on schedule, completed efficiently, and to Willmeng's standards of excellence.
What you will accomplish
- Serves as the accounting and documentation point of contact for all projects within a given silo, ensuring accuracy and timely processing in close coordination with Project Managers.
- Tracks and maintains all owner and subcontractor contracts, certifications, and team training requirements to keep the project team compliant and current.
- Acts as the primary liaison for subcontractor inquiries and coordinates all project accounting functions, including accounts receivable, client payment follow-up, subcontractor payments, and reconciliation of accounting, change order management and operations records.
- Manages equipment rentals and maintains a organized filing system for all project documents and records.
- Supports project closeout by coordinating required documentation including final billings, subcontractor warranties, lien waivers, and punch lists.
- Manage compliance requirements for all subcontractors.
What we would like you to have
- Bachelor's degree preferred; minimum 5 years of experience in an administrative role within the construction industry.
- Proficient in Microsoft Office Suite, Microsoft Project, Outlook, and construction management software including Procore.
- Strong interpersonal and communication skills with the ability to collaborate effectively across teams and adapt readily to changing priorities.
- Highly organized with the ability to manage multiple projects simultaneously while maintaining a strong focus on detail and accuracy.
- Demonstrates critical thinking, accountability, and a willingness to ask questions, accept constructive feedback, and continuously learn.
