The Quotations Specialist is responsible for preparing timely and accurate price quotations for large-scale, project-based, or custom orders. This role requires collaboration with purchasing, vendors, and sales representatives to ensure competitive pricing and availability. The Quotations Specialist manages multiple projects under tight deadlines and ensures follow-through from quote to order completion.
Essential ResponsibilitiesPrepare detailed quotes for commercial, residential, and project-based opportunities using internal systems and vendor tools.
Analyze customer specifications and blueprints to determine appropriate materials, pricing, and lead times.
Coordinate with purchasing to obtain product cost, lead time, and availability details.
Communicate with manufacturers, suppliers, and reps to obtain competitive pricing and up-to-date product information.
Track and manage active quotes, ensuring timely follow-up and revision as needed.
Work closely with inside and outside sales teams to align quote details with customer expectations and sales goals.
Ensure accurate documentation and recordkeeping of all quotation activity in CRM and ERP systems.
Support the sales team in transitioning accepted quotes into formal orders.
Assist in value engineering and alternative product recommendations when applicable.
Maintain a working knowledge of products, market trends, and vendor programs.
All other duties as assigned.
Required:
Associate degree or equivalent experience in sales, construction supply, or business.
3 years of experience in quoting, estimating, or project sales within a construction or supply distribution environment.
Strong analytical skills with high attention to detail and accuracy.
Excellent verbal and written communication skills.
Ability to manage multiple priorities and deadlines in a fast-paced setting.
Proficiency in Microsoft Office (Excel, Word, Outlook) and CRM/ERP platforms.
Strong teamwork and collaboration skills.
Preferred:
Experience with plumbing, HVAC, or building material product lines.
Familiarity with blueprint reading and construction bid processes.
Experience using quoting software or construction takeoff tools.
Extended periods of sitting and computer use, including data entry and screen work.
Ability to lift up to 25 pounds occasionally (e.g., binders, plans, or samples).
Frequent walking and standing in the showroom, warehouse, or during site visits.
Ability to focus for long periods and handle multiple concurrent tasks and deadlines.
Comfortable working in open office and warehouse environments.
This position is based in an office environment with regular interaction across sales, purchasing, and operations departments. Occasional work in showroom or warehouse areas is required. The role involves frequent vendor and supplier communication, with occasional off-site visits or virtual meetings.
