Job Opening: Program Coordinator
Location: North Central, WV
Schedule: Flexible (Day Shift)
Position Type: Full Time, 1 year
The Program Coordinator is a full-time position responsible for the day-to-day coordination, implementation, and reporting of the Step Up for Recovery Workforce Project. This role serves as the central operational hub for the program—managing participant flow, partner coordination, scheduling, documentation, and data tracking to ensure high-quality delivery of workforce training and career exploration for individuals in recovery and re-entry programs.
The Program Coordinator works closely with the Skilled Trades Instructor and Career Coach to ensure participants receive consistent support, timely training, and clear next steps toward employment readiness.
Primary Responsibilities
Program Coordination & Operations
- Coordinate all project activities, schedules, and timelines for the Step Up for Recovery Workforce Project.
- Serve as the primary point of contact for partner organizations, including recovery centers, re-entry programs, and workforce agencies.
- Schedule training sessions, simulator-based instruction, and partner-site visits in coordination with instructional staff.
- Maintain accurate program calendars and ensure smooth execution across multiple locations.
Participant Intake, Tracking & Support
- Coordinate participant referrals and enrollment in collaboration with partner organizations.
- Maintain participant records, attendance logs, credential tracking, and follow-up documentation.
- Track participant progress through SkillUp, Interplay Learning, hands-on training, and credential completion.
- Support participants with onboarding, scheduling reminders, and navigation of program expectations.
- Refer participants to the Career Coach for individualized re-entry planning and additional support as needed.
Data Management & Reporting
- Maintain organized digital records of all program activities, participant outcomes, and credentials earned.
- Track required metrics for grant reporting, including enrollment, training hours, credentials, and employment outcomes.
- Prepare and submit monthly, quarterly, and final program reports in coordination with the Executive Director.
- Support documentation needs for funders, audits, and compliance reviews.
Partner Coordination & Outreach
- Coordinate logistics for training delivered at partner sites, including space needs, equipment delivery, and participant communication.
- Support outreach and informational sessions with recovery and re-entry partners.
- Maintain ongoing communication with partner organizations regarding participant progress and program outcomes.
Program Support & Continuous Improvement
- Work collaboratively with the Skilled Trades Instructor and Career Coach to identify operational challenges and improve program delivery.
- Assist with updates to program materials, workflows, and internal procedures.
- Support program evaluation efforts by collecting feedback from participants and partners.
Work Environment & Schedule
· Flexible schedule with a combination of remote work, WV Women Work office work, and travel to partner sites.
· Occasional evening or weekend hours may be required based on training schedules or partner needs.
Required Skills
- Strong organizational and time-management skills.
- Ability to manage multiple schedules, partners, and priorities simultaneously.
- Clear, professional communication skills with participants, partners, and staff.
- High attention to detail in documentation and data tracking.
- Comfort working with online platforms such as Google Workspace, learning management systems, and spreadsheets.
- Ability to work independently while collaborating closely with a multidisciplinary team.
Qualifications
- High School Diploma or GED required; some college coursework preferred.
- Experience in workforce development, program coordination, nonprofit operations, or human services preferred.
- Experience working with individuals in recovery, re-entry, or high-barrier populations strongly preferred.
- Familiarity with databases, CRMs, or participant tracking systems is a plus.
- Lived experience or professional experience in recovery-support environments is valued.
