Executive Assistant / Chief of Staff (in training) — Well Peptides & Well Society
- Location: Miami Beach, FL (on-site)
- Schedule: Full-time, Monday–Friday in-office, with occasional weekend availability
- Reports to: Founder & CEO
Role Description
We're looking for a highly capable, self-sufficient Executive Assistant to serve as the right hand to the founder of Well Peptides and Well Society, a fast-growing wellness and longevity brand. This is not a scheduling-and-errands role, it's an operator role for someone who wants to grow into a Chief of Staff position.
You'll sit close to the business: managing projects across vendors, hiring, and team performance, and acting as the CEO's trusted second set of eyes on every major decision. You must be someone who takes ownership, drives things to completion without being chased, and is comfortable being the person who keeps everyone else accountable.
Responsibilities
Executive & operational support
- Act as the CEO's right hand — main point of contact for internal team, vendors, and key external partners
- Manage the CEO's calendar, meetings, emails and shifting priorities
- Track cross-functional projects to completion, flagging risks and keeping timelines on track
Vendor management & negotiation
- Conduct deep research and side-by-side comparisons on vendors (agencies, platforms, service providers)
- Lead or support contract negotiations, pricing discussions, and vendor onboarding
- Own ongoing vendor relationships and hold them accountable to scope and deadlines
Recruiting & team management
- Manage the hiring process for open roles: sourcing, screening, interview coordination, and candidate evaluation
- Help assess team KPIs and performance, and flag where support or accountability is needed
- Support onboarding of new hires and contractors
Business operations
- Oversee day-to-day operations so nothing falls through the cracks
- Support order management and operational coordination as needed
- Prepare clear, organized research and recommendations to support fast decision-making
Personal support (as needed)
- Support personal logistics, appointments, and lifestyle coordination as needed
- Coordinate travel, including flights, hotels, and itineraries, as needed
- Help with children's schedules, activities, and school pickups/drop-offs as needed
Qualifications
- 5 years in an Executive Assistant, Chief of Staff, or high-performance operations/PM role
- Strong track record managing vendor relationships and negotiations
- Experience with recruiting/hiring coordination a plus
- Excellent research skills — can turn open-ended questions into clear, decision-ready comparisons
- Comfortable working with KPIs and holding a team accountable to them
- Excellent written and verbal communication
- Highly organized, proactive, and able to manage multiple priorities without constant direction
- Tech-savvy: comfortable with Excel/Sheets, Google Workspace, Slack, and AI tools like ChatGPT/Claude
- Valid driver's license
- Based in or willing to relocate to Miami; able to work on-site Monday–Friday with occasional weekend availability
