We are seeking a highly capable and detail-oriented Executive Assistant to support the CEO in daily operations, communications, and executive coordination. This role requires strong judgment, intellectual curiosity, excellent writing skills, and the ability to manage complex schedules and priorities with discretion and efficiency. The ideal candidate thrives in a fast-paced environment and is comfortable supporting leadership in a company working at the intersection of technology, healthcare, and government programs.
This role offers direct exposure to executive decision-making, strategic initiatives, and high-level operations within a company working with government and international partners.
Key Responsibilities
- Provide high-level administrative support to the CEO
- Manage complex executive calendars, coordinate internal and external meetings, and oversee travel logistics
- Prepare reports, presentations, and professional correspondence
- Draft and edit emails, documents, and internal communications
- Assist with financial administration using QuickBooks Online
- Maintain organized records, files, and documentation
- Prepare spreadsheets, reports, and presentations using Microsoft Excel, Word, and PowerPoint
- Utilize AI tools to support research, document preparation, and workflow efficiency
- Coordinate executive scheduling and logistics across professional commitments
- Assist with confidential and time-sensitive matters requiring discretion and strong organizational skills
- Proactively anticipate executive needs, identify potential issues, and help ensure smooth execution of operational and administrative priorities
Qualifications
- Native English speaker with bilingual proficiency in Spanish
- Excellent writing and communication skills
- Experience using QuickBooks Online
- Strong proficiency in Microsoft Excel, Word, and PowerPoint
- Familiarity and comfort using AI tools to increase productivity
- Exceptional organizational and time-management abilities
- Strong analytical and problem-solving skills, with the ability to anticipate needs and manage tasks independently
- Demonstrated experience managing complex executive calendars and coordinating meetings across multiple stakeholders
- Ability to handle confidential information and coordinate complex priorities with discretion
- High level of professionalism and discretion when handling sensitive information
- Ability to manage multiple priorities and adapt in a dynamic environment
Work Environment
Full-time, in-office position based in Miami, Florida.
