Job Summary
We are seeking a dynamic and bilingual Office Manager to lead our administrative operations with energy and precision. In this pivotal role, you will oversee daily office functions, coordinate schedules, manage external relationships, travel to different sites, marketing and supervise administrative staff. Your exceptional communication skills and organizational prowess will ensure a smooth, efficient workplace environment. Duties

  • Manage daily office operations, including front desk responsibilities, multi-line phone systems, and calendar management to ensure seamless communication and scheduling.
  • Supervise administrative staff, providing training and development opportunities to foster a motivated and efficient team.
  • Oversee external management activities, negotiating contracts and ensuring timely and efficient home care service delivery.
  • Coordinate event planning for meetings, workshops, and community outreach initiatives to promote organizational engagement.
  • Visit client homes and provide evaluation
  • Handle bookkeeping tasks using QuickBooks for invoicing, expense tracking, and financial reporting.
  • Assist with human resources functions such as onboarding new employees, maintaining personnel files, and supporting payroll processes.
  • Maintain accurate filing systems, manage document organization, and ensure compliance with office policies and procedures.
  • Uphold excellent phone etiquette while managing multi-line systems to provide professional communication at all times.
  • Ability to work on call on weekends
  • Ability to work in the field 40% of the time.

Experience

  • Proven supervisory experience leading administrative or office teams in a fast-paced environment.
  • Prior home care or medical office experience, is required, along with strong, computer skills, and supervisory experience
  • Compliance & Growth: Ensure regulatory compliance, adhere to HIPPA
  • Have reliable transportation
  • Strong background in office management with hands-on experience in clerical tasks, bookkeeping, and vendor relations.
  • Familiarity with HHA EXCHANGE and other software services
  • Demonstrated ability to manage schedules effectively using calendar management tools.
  • Experience coordinating events or community outreach activities is highly desirable.
  • Knowledge of human resources practices including onboarding, payroll processing, and employee training & development.
  • Excellent communication skills in both English and spanish with the ability to adapt messaging for diverse audiences.
  • Strong organizational skills with keen attention to detail in filing, record keeping, and administrative workflows.
