Senior Program Specialist – Specialty Insurance
Waypoint Specialty
Tampa, FL | Full-Time | In Office
$90,000–$110,000 per year
Help Build and Run Our Program Operations
Waypoint Specialty is looking for an experienced Senior Program Specialist to join our growing Tampa team.
This is a senior, hands-on insurance operations role for someone who understands how specialty insurance programs work and wants the opportunity to take real ownership of programs, partner relationships, and the processes that support them.
As Waypoint continues to expand its specialty program business, this role will play a key part in building and managing our program operations function. You will be directly involved in the day-to-day work required to keep our programs running successfully, including program reporting, bordereaux, reconciliations, policy activity, partner follow-up, customer service, compliance tracking, Applied Epic, and other operational responsibilities.
We are looking for someone who is comfortable being hands-on today while helping us build the processes and team that will support our continued growth.
As our program portfolio and business volume grow, we expect to add Program Associates to support these activities. The Senior Program Specialist will then direct and review their day-to-day work while continuing to own programs and partner relationships.
What You'll Do
- Own the day-to-day operation of established specialty insurance programs
- Serve as the primary day-to-day contact for program partners and carriers
- Respond to and manage customer service requests for programs where Waypoint provides direct servicing, including proof of insurance requests, policy documentation, and other day-to-day service needs
- Prepare and review weekly bind summaries, monthly bordereaux, reconciliations, dashboards, and carrier reporting
- Monitor premium payment status and follow up on outstanding items, coordinating with Accounting as needed
- Maintain accurate program, account, and policy information in Applied Epic
- Process policy issuance, endorsements, cancellations, and invoicing for programs where Waypoint serves as the MGA
- Monitor underwriting guidelines, binding authority, aggregates, capacity limits, and program compliance
- Manage underwriting referrals, exception requests, price adjustments, loss information, and other partner requests through resolution
- Maintain program operating calendars, files, reporting schedules, and compliance requirements
- Coordinate audits, carrier data requests, large-loss notices, and other program-related activities
- Lead quarterly program reviews and support program renewals
- Participate in the transition of new programs from launch into ongoing program management
- Identify problems early and escalate significant issues quickly
- Build repeatable workflows, documentation, controls, and processes that allow our program operations function to scale
- As the team grows, direct and review the day-to-day work of Program Associates supporting your programs
Applied Epic Leadership
Applied Epic will be an important part of how we build our program operations platform.
In this role, you will:
- Serve as the team's go-to resource for Applied Epic questions, troubleshooting, and best practices
- Establish consistent standards for account and policy setup and invoicing
- Build and maintain workflows, activity templates, and standard processes
- Develop reports and program dashboard templates
- Create practical documentation and how-to guides
- Help train future members of the program operations team
- Support Epic setup and configuration as new programs are launched
What We're Looking For
We're looking for someone who has already developed a strong foundation in specialty insurance operations and is ready to take ownership.
- 5 years of experience in specialty, E&S, or program insurance operations, including experience with an MGA, carrier program unit, or wholesaler
- Hands-on experience with bordereaux, reconciliations, and program compliance
- Working knowledge of binding authority and program administrator agreements
- Understanding of surplus lines fundamentals
- Property underwriting or claims knowledge, including the ability to review and understand loss information
- Strong Applied Epic skills, including experience with workflows, templates, reporting, and training others
- Experience personally owning partner or client requests from start to finish
- Strong Excel skills and attention to detail
- Clear, professional written and verbal communication
- Ability to hold partners accountable while maintaining strong relationships
- Ability to manage multiple programs, deadlines, and priorities
- Florida 2-20 license or ability to obtain it within the required period after hire
- Bachelor's degree or equivalent experience
Helpful, but not required:
- Applied Epic administration or configuration experience
- CPCU, PBP, AU, AINS, or similar insurance designation
Growth and Leadership Opportunity
This role offers the opportunity to help shape how Waypoint manages its specialty insurance programs as we continue to grow.
Initially, you will be highly hands-on and personally responsible for much of the operational work supporting your programs. As our program portfolio grows, we expect to add Program Associates who can take on portions of the processing, data, reporting, and file work under your direction.
Over time, that allows this position to evolve from doing and building to owning, reviewing, leading, and improving while remaining closely connected to our programs and partners.
As the size of our program portfolio and operations team grows, this position also provides a potential path toward a Program Operations Lead role.
