Scope:
Wayne Metro’s Green and Healthy Homes department is dedicated to ensuring that homes provide safe, healthy, and affordable environments for families to thrive. The Weatherization Admin Coordinator plays a vital role in managing effective communication between Weatherization contractors and internal teams. This position is responsible for ensuring timely responses to contractor inquiries, maintaining accurate financial records and processing vendor invoices. Supporting financial reporting and compliance efforts aligned with programs such as Weatherization Assistance Program (WAP), Home Repair, and Conservation. The Program Coordinator's efforts contribute to the seamless operation of departmental initiatives and enhance the overall effectiveness of the services provided to the community.
Essential Functions
- Input financial data into accounting software and maintain accurate financial records, including invoices and payments.
- Process vendor invoices and payments in a timely manner.
- Reconcile financial records and identify discrepancies.
- Assist in preparing monthly financial reports and documentation for audits.
- Support the finance team in budgeting and forecasting.
- Ensure compliance with accounting policies and assist with improvements to financial processes.
- Identify and address issues raised by contractors, collaborating with internal teams for solutions.
- Follow up on outstanding inquiries to ensure contractor needs are met promptly.
- Proactively communicate changes in project timelines, policies, or procedures.
- Monitor and manage the contractor email inbox, ensuring timely responses to all inquiries.
- Organize and categorize emails to prioritize urgent matters.
- Act as the primary point of contact for contractors, addressing questions and concerns while on the job.
- Facilitate communication between contractors and internal teams, relaying important updates.
- Assist with implementation of program projects as assigned.
- Maintain electronic and paper file system and file room.
- Maintain a positive and professional attitude when working with staff, partners, landlords, and participants.
- Perform work in a manner that upholds Wayne Metro policies and procedures.
- Performs other related duties as assigned.
Physical Requirements
Clerical: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This job operates in a professional office environment with a usually quiet noise level. This is largely a sedentary role and the employee must occasionally lift and/or move up to 25 pounds. While performing the duties of this job, the employee is regularly required to sit, frequently use hands to finger, handle, and to talk or hear.

Minimum Qualifications:
- Associates degree OR a minimum of two years of experience in a related field OR a combination of education and experience that is similarly equivalent.
- EmpowOR database proficiency.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Effective communication skills and the ability to work collaboratively with clients, contractors, and internal teams.
- Proficiency with computer systems, databases, and documentation processes.
- Ability to maintain professionalism and composure in fast-paced or client-facing situations.
- Strong analytical abilities, sound problem-solving capabilities, and effective decision-making skills.
Minimum Competencies:
- Working knowledge of basic internet applications and programs including Google technology and Microsoft Office Word and Excel. The ability to learn and utilize the necessary programs for this position.
- Ability to communicate effectively both orally and in written form.
- Good interpersonal and professional skills including but not limited to professional appearance, tact, punctuality, and dependability.
- Ability to provide services for those persons facing economic, social, health, age, and educational barriers.
- Ability to work independently or in a team environment (as deemed necessary).
- Perform work in a manner that upholds Wayne Metro policies and procedures.
Licensing and Other Requirements:
- Valid driver's license and reliable transportation.
- Although the Covid-19 vaccination is no longer mandated, it is encouraged. Wayne Metro will always prioritize the safety of our staff and clients.
Travel Requirements:
Ability to travel to various sites.
Work Hours:
Work to be scheduled Monday through Friday with specific hours to be determined by program needs.
