Washington County Mental Health Services is seeking a hands-on operations leader to serve as the driving force behind our Certified Community Based Health Center (CCBHC) program. The CCBHC Operations Coordinator ensures that clients across all program sites experience timely access to care, seamless service delivery, and well-coordinated referral pathways. Reporting directly to the Chief Operations Officer, this role bridges the gap between CCBHC standards and day-to-day operational reality — translating requirements into practical workflows, supervising non-clinical staff, and partnering with clinical and quality leadership to continuously improve how care reaches our community.
What You'll Do
- Build and maintain CCBHC operational systems — including workflows, SOPs, training materials, and monitoring routines — across all program sites
- Coordinate day-to-day access processes to meet CCBHC standards, monitor client flow and provider capacity, and support same-day access approaches in partnership with clinical leadership
- Oversee scheduling governance across multiple sites, including template management, change control documentation, and responses to scheduling disruptions
- Coordinate closed-loop referral standards, ensuring each step — from referral sent through treatment plan update — is tracked consistently in MyAvatar
- Maintain a CCBHC operations evidence system, including access dashboards, performance reports, CQI action plans, and meeting documentation
- Serve as the operations representative on the CQI Committee, contributing operational data, trends, and proposed action steps to support quality reporting and corrective actions
- Hire, train, supervise, and coach Administrative Coordinators and Care Coordinators, ensuring staff have clear guidance and coverage across sites and operating hours
- Bachelor's degree in healthcare administration, public health, business, or a related field — or equivalent experience — plus 5 years of progressive healthcare/mental health operations experience with accountability for access, scheduling, and cross-functional workflow implementation
- 2 years of direct people leadership and supervisory experience
- Demonstrated ability to build governance processes, including SOPs, change control systems, dashboards, and operational improvement routines
- High proficiency with EHR scheduling operations; Netsmart MyAvatar strongly preferred
- Strong cross-functional communication and influence skills, with a data-driven approach to operational problem-solving and service recovery
